Position Overview

We are seeking a highly organized, proactive, and detail-oriented Office Assistant to support a fast-paced CPA firm. This role blends administrative support, executive assistance, and operational coordination. The ideal candidate is responsive, tech-savvy, and able to anticipate needs while maintaining a high level of professionalism and confidentiality.

Key Responsibilities

Administrative & Office Support
  • Provide day-to-day administrative support to partners and team members
  • Manage calendars, schedule meetings, and coordinate logistics
  • Organize and maintain digital and physical files (client documents, tax returns, correspondence)
  • Assist with onboarding of new clients and staff
Email Management & Communications
  • Monitor inboxes and flag priority items
  • Draft, proofread, and send professional email responses on behalf of partners
  • Ensure timely follow-ups with clients, vendors, and internal team members
  • Maintain a high standard of written communication consistent with firm tone
Personal & Executive Assistance
  • Assist with personal errands for partners (appointments, reservations, travel coordination, etc.)
  • Coordinate both business and limited personal scheduling needs
  • Handle confidential matters with discretion and professionalism
Team Support & Coordination
  • Support accounting and tax team members with administrative needs
  • Assist with gathering documents, organizing workpapers, and tracking deliverables
  • Coordinate with third-party providers (payroll, bookkeeping, legal, etc.) as needed
Operations & Process Support
  • Help streamline internal processes and improve efficiency
  • Maintain task trackers and ensure deadlines are met (tax filings, client deliverables, etc.)
  • Assist in implementing and managing workflow systems
Qualifications
  • 2+ years of administrative or executive assistant experience (CPA firm or professional services preferred)
  • Strong written and verbal communication skills
  • Exceptional organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Office (Outlook, Excel, Word) and Google Workspace
  • Experience with tools such as DocuSign, SmartVault, or Lacerte is a plus
