About the Role
We are seeking a detail-oriented and highly organized Property Management Operations Assistant to support daily operations across multiple properties. This role plays a key part in ensuring accurate records, smooth coordination of utilities and maintenance, and professional tenant communication.
You will handle a mix of administrative, operational, and customer service tasks, making this ideal for someone who is proactive, precise, and comfortable managing multiple responsibilities in a remote environment.
Key Responsibilities
Data Entry & File Auditing- Perform accurate data entry across property management systems and spreadsheets
- Audit tenant files, lease records, and compliance documents
- Identify and resolve missing, outdated, or incorrect information
- Maintain organized and up-to-date digital records
- Conduct periodic audits to ensure ongoing accuracy and compliance
- Coordinate utility account setup, transfer, and closure
- Communicate with utility providers to resolve billing or service issues
- Track and follow up on open utility concerns
- Ensure proper utility handling during move-ins and move-outs
- Maintain detailed records of all communications
- Follow up on maintenance requests and ensure timely progress
- Coordinate with vendors and contractors for scheduling
- Provide updates to tenants regarding request status
- Document maintenance activities and update work orders
- Escalate urgent or unresolved issues when necessary
- Handle inbound calls from tenants, owners, and vendors professionally
- Respond to tenant inquiries regarding leases, maintenance, and utilities
- Conduct outbound calls to follow up on outstanding balances
- Manage difficult conversations with professionalism and composure
- Log all communications and ensure proper follow-through
- Strong attention to detail and high level of accuracy
- Experience in data entry, auditing, or compliance-related roles
- Excellent organizational and multitasking skills
- Strong verbal and written communication skills
- Comfortable handling inbound and outbound calls
- Ability to work independently in a remote setup
- Reliable and consistent with task follow-through
- Experience in property management or real estate
- Familiarity with tools like AppFolio, Buildium, or Yardi
- Experience coordinating utilities and tenant transitions
- Background in customer service or collections
- Experience handling tenant or client-facing communication
- Detail-oriented and process-driven
- Proactive in identifying and resolving issues
- Calm and professional in handling challenging conversations
- Strong sense of accountability and ownership
