Client Overview:

Hilary is an amazing coach and she’s looking for an equally amazing customer care assistant who can do customer service, program support, and GoHighLevel tasks.

Client Requirements:

  • Must be able to work 40 hours weekly
  • Must be able to work 9am to 6pm Mountain Time (US) (you'll have a 1-hour lunch break everyday)
  • Must have strong written and verbal communication
  • Must have excellent written and verbal English skills
  • Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
  • Must have a warm and friendly attitude
  • Must have experience working in GoHighLevel to create and send emails and manage courses within GHL
  • Experience with WordPress CMS for simple changes and Typeform is nice to have!

Responsibilities/Tasks:

Must-Have Experience (Responsibilities You Must Be Proficient In):

These are the tasks the VA needs to handle independently and confidently from day one:

Customer Service Tasks:

  • Handle all client communications via email and text through Go High Level (GHL) and Gmail. Maintain the support email inbox.
  • Schedule weekly group coaching call reminder Facebook posts on Mondays and emails on Tuesdays. As well as the group call reminder email on Tuesdays.
  • Maintain the Client Master Tracking Sheet.
  • Make sure that new enrollments receive their 2 welcome emails and are added to the FB group if needed.
  • Update Q&A Call Coach Prep Doc each week for the group coaching call on Thursday.
  • Manage and record the breakout room for the group coaching calls if needed.
  • Upload the weekly calls to Google drive & Vimeo.
  • Add the weekly call to the classrooms.
  • Update the call recordings doc and email it to the clients.
  • Setup recurring invoices for Program Graduates that didn’t opt out of the Graduate group every Friday.
  • Follow up with clients that paused their programs or have delayed start dates (starting a program later in the future).
  • Schedule podcast email in GHL.

Program Delivery Tasks:

  • Create and update the classroom content with the help of the coaches.
  • Create and maintain program delivery automations in GHL, including email templates.
  • Create and update program checkout pages.
  • Create and maintain private coaching calendars in GHL.

Administrative Tasks (some are done in collaborations with outside partners):

  • Manage Google Admin Workspace.
  • Manage Go High Level (GHL) CRM system

Nice-to-Have Experience (Responsibilities You Can Learn Over Time):

These tasks are valuable but can be trained on the job:

  • Create episode transcript and wordpress webpage for the weekly podcast episodes (Client is willing to train)
  • Manage Typeform
