Executive Assistant
  • The Executive Assistant (Hospitality or Airline Background Preferred) plays a pivotal role in providing administrative and operational support to the Executive Office.
  • This role requires a blend of administrative proficiency, medical knowledge, and strong communication skills.

Critical Duties & Responsibilities include:

  • Calendar and Schedule Management - efficiently manages the Executive's calendar, scheduling appointments, coordinating meetings, and ensuring that he is well-prepared and on time for all engagements.
  • Gatekeeping, Communication, and Correspondence - acts as a primary point of contact for internal and external stakeholders, particularly with health-related errands and concerns, screening and managing requests, calls, emails, and other forms of communication.
  • Travel Arrangements - plans and organizes travel arrangements, including flights, accommodations, transportation, and itineraries for the Executives and other executives.
  • Meeting & Events Coordination - assists with the preparation of meeting materials, agendas, presentations, and taking minutes during meetings.
  • Relationship Management - Builds and maintains relationships with key stakeholders, both internally and externally. This includes liaising with clients, partners, board members, and other executives on behalf of the Executive.
  • Information Management - Manages confidential files, documents, and records with a high level of efficiency and confidentiality
  • Executive and Administrative Support - Provides overall support to the Executive in his day-to-day activities, anticipating needs, and ensuring the necessary resources and information are available to make informed decisions. Also assists with general administrative tasks such as expense management, budget tracking, office supply management, and handling other ad hoc administrative duties as required.

The successful candidate must possess the following qualifications and qualities:

  • Must be willing to work in Oakridge Business Park, Mandaue, Cebu.
  • Strong commitment to excellence and service orientation
  • Highly proficient in planning, organizing, execution, and attention to detail
  • Exceptional communication and relationship-building skills and the ability to effectively relate with a wide range of stakeholders
  • A strong work ethic, professionalism, discretion, and confidentiality
  • Proactive, adaptable, flexible, and willing to go the extra mile
  • High emotional intelligence: one can navigate sensitive situations with empathy and tact, builds rapport and trust easily across all levels of the organization, and has the ability to adjust one's communication and relational style in accordance with the situation.

Note for all roles: VisMin candidates would be better but accepting Manila candidates who are willing to relocate in Cebu.

Interview levels: 2 levels of interview – All f2f for candidates within Cebu / 1st virtual and Final interview will be face-to-face if candidates are outside Cebu.
