We are hiring an exceptional Executive Virtual Assistant & Marketing Support who can think ahead, take ownership, and operate with heart.

The right person will serve as a trusted right hand to a founder who moves fast, leads with purpose, and holds her team to a high standard — while genuinely investing in their growth.

Key Responsibilities:

Executive & Founder Support
  • Prepare agendas, materials, and follow-up notes for leadership meetings
  • Manage travel arrangements, itineraries, and logistics
  • Maintain and update a CEO Dashboard — a centralized view of priorities, goals, and key metrics
  • Handle calendar management, scheduling, and inbox triage as needed
  • Serve as a reliable point of coordination across the founder's business priorities
Speaking Engagements & Lead Generation
  • Research relevant conferences, podcasts, and industry events
  • Complete and submit speaker applications on behalf of the founder
  • Maintain a CRM to track leads, speaking opportunities, and follow-ups
  • Communicate with event organizers and manage the pipeline proactively
Sales Support & Business Development
  • Assist in lead generation and outreach campaigns
  • Support proposal creation and client follow-through
  • Collect, organize, and request testimonials professionally and on-brand
  • Identify and help recruit potential trainers or talent as needed.
Workshop & Event Coordination
  • Send out needs assessments prior to workshops
  • Prepare handouts, slide decks, and supporting event materials
  • Assist with full event logistics and coordination from planning through execution
Community Building & Engagement
  • Support the founder's growing community initiatives and programs
  • Manage virtual events such as happy hours and community calls
  • Create and distribute event invitations and post-event recaps
  • Foster an engaged, warm, and consistent community experience
Marketing & Communications
  • Develop and manage email marketing campaigns, newsletters, and automated sequences
  • Plan, schedule, and manage social media content across relevant platforms
  • Create or coordinate compelling content aligned with the founder's voice and brand
  • Monitor engagement, track performance metrics, and provide actionable reporting
  • Send thank-you gifts, cards, and personalized outreach to key contacts and partners
  • Support the execution of a consistent marketing calendar tied to key business moments
Qualifications
  • Experience: 2–3+ years as an Executive VA, Marketing Assistant, or combined role supporting a founder or senior executive.
  • Startup DNA: Proven experience thriving in a fast-paced, entrepreneurial, or startup environment.
  • Tech-Savvy: Strong CRM experience (e.g., HubSpot, GoHighLevel, Notion) and email marketing tools (Mailchimp, ActiveCampaign, Klaviyo).
  • Marketing Chops: Confident in social media management, basic content creation, and familiar with Canva or similar graphic tools.
  • Event Background: Experience in event coordination, workshop support, or community management is a strong advantage.
  • Communication: Excellent written and verbal English communication skills.
  • Autonomy: Highly organized, proactive, and capable of managing multiple priorities without close supervision.
  • Schedule Flexibility: Comfortable working aligned to US time zones, at least partially.
