Virtual Assistant (Medical Office)

Job Summary:

We are seeking a reliable and detail-oriented Virtual Assistant to support daily administrative operations in a medical office. The ideal candidate will be experienced in handling medical documentation, managing communications, and ensuring efficient workflow in a fast-paced healthcare environment.

Key Responsibilities:

  • Sort, review, and manage incoming faxes, ensuring timely distribution and follow-up
  • Send outgoing faxes, including referrals, records, and other medical documentation
  • Process and fulfill medical records requests in compliance with HIPAA regulations
  • Upload and accurately file medical records into patient charts within the EMR system
  • Perform prior authorizations for medications through cover my meds platform and at times on paper.
  • Assist with other administrative tasks as assigned

Qualifications:

  • Previous experience in a medical office or healthcare setting preferred
  • Familiarity with EMR/EHR systems
  • Knowledge of medical terminology and insurance processes
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and meet deadlines
  • High level of professionalism and confidentiality (HIPAA compliance required)

Technical Requirements:

  • Reliable high-speed internet connection
  • Computer proficiency (Microsoft teams, spruce, Tebra EMR)
  • Secure and private workspace

Preferred Skills:

  • Experience with prior authorization platforms
  • Familiarity with fax management systems and digital document handling
  • Strong problem-solving abilities and ability to work independently
