About the Role

We are seeking a highly organised and detail-focused Logistics & Freight Operations Coordinator to support international shipping processes for an exciting Australian business. This role will involve end-to-end tracking of import shipments (FCL, LCL, and Air), document management, coordination with local and overseas agents, and proactive follow-ups to ensure timely clearance and delivery.

Responsibilities:

• Coordinate and manage documentation for import shipments (B534, Packing List, Passport, Visa, B/L)
• Liaise with overseas agents to ensure complete document submission
• Register jobs in internal systems (e.g., MW)
• Send pre-alerts and updates to clients regarding ETA and shipment status
• Follow up with shipping lines and local agents for arrival notices, EDOs, and clearance
• Work with internal accounts team to track and confirm payments
• Organise and track final delivery once clearance is achieved
• Communicate with airlines or shipping lines for freight and port charges
• Maintain accurate records and status updates across all touchpoints

Requirements:

• Previous experience in freight forwarding, logistics, or international shipping coordination
• Strong understanding of import/export documentation
• Excellent communication and coordination skills
• Able to follow up and chase documentation, status, and payments across multiple parties
• Familiar with systems like MW (or willing to learn)
• Comfortable with international time zones (AU–PH)
