Administrative Virtual Assistant

Job Summary: We are seeking a reliable and proactive Ministry Administrator to provide administrative and operational support for a growing church community. This part-time role is centered on maintaining accurate member and volunteer records, coordinating weekly gatherings, supporting guest speaker logistics, and ensuring that follow-up processes remain consistently on track.
The ideal candidate is organized, thorough, and fully comfortable managing multiple responsibilities independently.
Key Responsibilities:
- Keep member, visitor, and volunteer data current and accurate within Planning Center
- Oversee volunteer scheduling, identify and flag coverage gaps, and notify team leads when recruitment efforts need to be ramped up
- Support weekly Sunday readiness by preparing presentations, uploading video content, coordinating communion supplies, and reordering low-stock items as needed
- Handle guest speaker logistics including travel arrangements, slide preparation, delivering parking and location details, and putting together welcome gift baskets
- Coordinate the planning details for welcome classes, membership classes, and special services, including catering arrangements and event logistics
- Compile and organize payment information for musicians, guest speaker honorariums, facility rentals, and recurring expenses so a designated team member can process them
- Track expense receipts submitted by team leads that fall outside the standard bookkeeping workflow
- Prepare the weekly order of service document and deliver it to the on-site Sunday coordinator
- Monitor new visitor activity, maintain current follow-up contact lists, and prompt the appropriate team members when outreach is needed
Mandatory Skills:
- Hands-on experience with Planning Center or a comparable member management or CRM platform
- Solid administrative background with strong data management habits
- Proven ability to coordinate schedules, volunteer rosters, and multiple stakeholders at once
- Comfortable with basic financial organization tasks including payment tracking and expense reconciliation
- Dependable, detail-oriented, and capable of working independently without regular check-ins
- Clear and professional written and verbal communication skills
Preferred Skills:
- Prior experience working within or alongside a church or faith-based organization
- Familiarity with community-oriented, non-corporate operational environments
- Experience coordinating events, particularly those involving guest speakers or hospitality management
- A forward-thinking mindset with the ability to anticipate needs and surface issues proactively
- Able to handle multiple overlapping priorities and deadlines without losing precision or focus
