We’re looking for a highly organized and proactive Admin-Purchasing Assistant to join our Davao office! In this role, you will provide essential administrative and purchasing support to ensure smooth office operations. You’ll handle vendor coordination, facility maintenance, procurement, and assist with various company activities.If you have strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment, we’d love to hear from you!
Required Skills and Qualifications: Proven experience as an administrative/purchasing assistant or similar role.
Proficiency in Microsoft Office (Word, Excel, Outlook)Experience in managing budgets and expenses
Excellent organizational and time-management skills.
Strong communication and interpersonal abilities.
Ability to work independently and as part of a team.
Associate or bachelor’s degree preferred
Job Responsibilities: Administers strict implementation of all Admin policies and procedures outlined by Admin-Operations Manager
Manages, coordinate, and provide administrative support functions to the companyEnsures that all repairs and renovations of facilities are done on time.
Coordinates, requests and schedules repairs to facilities or equipment to ensure they are completed efficiently and effectively
Coordinates and manages 3rd party vendors and suppliers
Organize a filing system for important and confidential company documents
Performs other related functions as directed by superior.
Can do flexible schedule and be able to travel to our respective outposts as needed.
Assists inquiries/complaints of employees from time to time.
Assist internal departments with any events, visitors, and occasion preparations, including procuring necessary supplies and coordinating vendor purchases as needed.
Provides assistance corporate account application
Provides assistance with renewal of regulatory permits and building permits
Assist employees in coordinating incident reports to provide feedback to management concerning possible problems or areas of improvement
Provide support to employees in various departments-related events
Sees to it that the office premises are checked properly at the start of the day’s work
Covers the cleanliness and maintenance of workspaces.
Responsible in doing banking deposit and bank transactions if there is any
Responsible in monitoring office supplies
repair requests, maintenance & replacement of office equipment's, appliances, furniture, furnishings, pantry and other office/ housekeeping requirementsHandles purchasing activities, including sourcing suppliers, requesting quotations, and ensuring timely delivery of goods and services needed for office operations.
Escalate any issues and concerns to the supervisor
