Job Summary: We are seeking a proactive and exceptionally organized Executive Virtual Assistant to support a CEO across a wide range of administrative, communication, and operational responsibilities. This is a high-trust role that demands discretion, strong initiative, and the consistent ability to anticipate what is needed before it becomes urgent.

The ideal candidate thrives in a fast-paced environment and genuinely enjoys bringing structure and clarity to complex, evolving workflows.

Key Responsibilities:

  • Manage the CEO's inbox and calendar including scheduling meetings, sending timely reminders, and keeping daily priorities clearly aligned
  • Draft, send, and follow up on professional correspondence with clients, partners, and key stakeholders
  • Prepare, send, and accurately track invoices within required timeframes
  • Create and maintain well-organized reports using Google Sheets and other relevant productivity tools
  • Monitor tasks and project progress using Asana or a comparable project management platform
  • Maintain a clean and structured database of personal and professional contacts
  • Support the CEO in prioritizing key initiatives and ensuring nothing important is missed or delayed
  • Coordinate logistics including travel arrangements and bookings when required
  • Send proactive reminders and follow-ups to sustain accountability and forward momentum
  • Handle all confidential information with the highest standard of professionalism and integrity

Mandatory Skills:

  • Excellent written and verbal communication skills in English
  • Demonstrated experience managing executive email inboxes, calendars, and performance reports
  • Prior background as an Executive Assistant or Personal Virtual Assistant
  • Strong organizational skills with a sharp eye for detail and effective task prioritization
  • Self-motivated, dependable, and capable of working independently with minimal direction
  • Comfortable operating in close collaboration with senior leadership and handling sensitive information with full discretion

Preferred Skills:

  • Proficiency in Google Workspace and project management tools such as Asana
  • Strong relationship-building and interpersonal communication skills
  • A genuine interest in personal development and contributing to purpose-driven, values-led teams
  • Comfortable managing multiple concurrent projects without sacrificing quality or attention to detail
