Job Summary:

The Administrative Operations Manager oversees both administrative functions and operational processes to ensure organizational efficiency and regulatory compliance. This role leads the admin team, handles office operations, ensures proper business permitting, and implements systems that support day-to-day business needs.

Key Responsibilities:

Administrative Management:

  • Supervise and develop the administrative team (e.g., clerks, assistants, receptionists).
  • Manage office operations including supplies, facilities, equipment, and support services.
  • Establish, update, and enforce administrative procedures and policies.
  • Oversee document management, internal communications, and meeting coordination.
  • Support HR in onboarding logistics and office requirements for new hires.

Operational Oversight:

  • Coordinate interdepartmental operational needs, ensuring smooth workflow across teams.
  • Ensure proper filing, control, and renewal of business permits, licenses, and corporate registrations (e.g., barangay, mayor’s permit, DTI/SEC, BIR, LGU, SSS, PhilHealth, DOLE).
  • Monitor compliance with company standards, legal regulations, and safety policies.
  • Liaise with government agencies, vendors, and building administrators as needed.
  • Manage procurement, inventory, and logistics support for company activities.
  • Maintain tracking systems for renewals, utilities, and service contracts.

Reporting & Budgeting:

  • Prepare and manage budgets related to office operations and administration.
  • Generate regular reports on admin performance, cost control, and compliance status.
  • Recommend operational improvements and cost-saving measures.

Qualifications:

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • Minimum of 5 years experience in administrative or operations management.
  • Strong background in business permitting and dealing with local government units.
  • Excellent leadership, problem-solving, and decision-making skills.
  • Proficient in Microsoft Office, Google Workspace, and office management tools.
  • Familiarity with regulatory compliance requirements in the Philippines.
  • Exceptional organizational, negotiation, and communication skills.

Preferred Skills:

  • Experience in facilities or corporate services.
  • Ability to implement systems and automate routine tasks.
  • Vendor management and budget monitoring experience.
  • Project coordination or experience leading company initiatives.
