The HR Staff (Clerical & Documentation) is responsible for providing clerical and administrative support to the Human Resources department, with a primary focus on maintaining employee 201 files and other HR records. The role ensures proper documentation, accurate filing, record monitoring, and confidentiality of employee information.
Key Responsibilities:
- Maintain, organize, and update employee 201 files and other HR records
- Ensure completeness, accuracy, and proper filing of employee documents
- Prepare, scan, photocopy, print, and route HR-related documents as needed
- File and monitor HR documents such as contracts, memos, notices, and employee requirements
- Encode and update employee information in HR databases and monitoring systems
- Assist in onboarding documentation and pre-employment requirements of newly hired employees
- Monitor submission of employee requirements and follow up pending documents
- Ensure proper safekeeping and confidentiality of all HR records and files
- Assist employees with HR document requests such as certificates, IDs, and clearances
- Support other HR administrative and clerical functions as assigned
- Ensure compliance with company documentation and records management procedures
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field
- Fresh graduates are welcome to apply.
- Experience in clerical, administrative, or HR documentation work is an advantage
- Knowledge in handling and maintaining employee records such as 201 files, etc.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
- Strong organizational and filing skills
- Keen attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Good communication and interpersonal skills.
