Assistant Facilities Manager

Job Summary:

The ideal candidate will possess strong leadership skills, meticulous attention to detail, and the ability to resolve issues promptly while fostering excellent relationships with residents and stakeholders.

Key Responsibilities:

• Assist in overseeing daily operations and maintenance of the building, including mechanical, electrical, plumbing, fire protection, and elevator systems.
• Conduct regular inspections of common areas, equipment, and systems to ensure cleanliness, safety, and functionality.
• Coordinate preventive and corrective maintenance schedules with in-house technicians and third-party contractors.
• Ensure building amenities (e.g., pool, gym, function rooms) are well-maintained and operational.

• Supervise and coordinate with service providers (e.g., janitorial, security, pest control, landscaping, elevator maintenance).
• Review contractor performance and ensure compliance with service level agreements.
• Assist in bidding, procurement, and monitoring of outsourced services and materials.

• Address residents’ maintenance concerns or service requests in a timely and professional manner.
• Assist in implementing and communicating house rules and building policies.
• Participate in homeowner association (HOA) or tenant meetings as needed.

• Ensure compliance with local government regulations (e.g., fire safety, environmental, building permits).
• Assist in emergency preparedness planning and respond to facility-related emergencies.
• Monitor and ensure implementation of health, safety, and security protocols within the property.

• Prepare reports on maintenance activities, budget usage, and incident logs.
• Maintain an up-to-date inventory of tools, equipment, and supplies.
• Assist in the preparation of annual maintenance budgets and capital improvement plans.

Qualifications:

• Bachelor’s degree in Engineering (Mechanical, Electrical), Facilities Management, or a related field.
• At least 2-3 years of experience in facilities or property management, preferably in a residential or high-rise building setting.
• Familiarity with building systems (MEPFS), property management software, and Philippine building codes.
• Strong leadership, organizational, and problem-solving skills.
• Good communication and interpersonal skills, especially in dealing with residents and service providers.
• Proficient in Microsoft Office (Excel, Word, Outlook).

Preferred Qualifications:

• Holder of a PRC license (for engineers) is a plus.
• Knowledge of ISO standards, preventive maintenance systems, and energy efficiency practices.
• Experience working in Mandaluyong or similar urban areas in Metro Manila.

Working Conditions:

• On-site position; may require occasional weekend or holiday duty.
• Will be part of a rotating on-call schedule for emergencies
