Job Summary:

The Executive Assistant to the General Manager provides high-level administrative support, managing a dynamic schedule, handling confidential communications, and coordinating meetings, including minute-taking and follow-ups. Acting as a key liaison between the GM and internal/external stakeholders, the role ensures timely action on critical matters, maintains accurate records, and supports special projects.

The Executive Assistant is also expected to work closely with the General Services Department to help deliver capital projects and leasehold improvements in line with board directives.

Key Responsibilities:

  1. Manage the General Manager’s complex schedule, including setting appointments, organizing meetings, and ensuring timely calendar updates.
  2. Serve as the primary liaison between the General Manager and internal departments, club members, external partners, and vendors.
  3. Handle all incoming and outgoing communications—calls, emails, and documents—ensuring confidentiality and timely responses.
  4. Prepare meeting agendas, attend meetings, take minutes, and ensure follow-up on action items.
  5. Maintain and organize official records, reports, and documentation of the Office of the General Manager.
  6. Coordinate the review, routing, and filing of documents requiring the GM’s signature or action.
  7. Support the delivery of special projects and capital improvement initiatives by coordinating with the General Services Department.
  8. Track and follow up on deadlines, commitments, and administrative processes to support executive priorities.
  9. Ensure that the daily operations of the GM’s office run smoothly and efficiently.
  10. Perform other duties as may be assigned to support the executive function.

Qualifications:

  • Bachelor’s Degree in Business Administration, Management, Communication, or a related field.
  • At least 3–5 years of experience as an Executive Assistant, Administrative Officer, or similar role supporting senior leadership.
  • Prior experience in a corporate or hospitality environment is an advantage.

Skills:

  • Excellent verbal and written communication skills in English and Filipino.
  • Strong interpersonal and coordination skills; able to interact with all levels of the organization and external stakeholders.
  • Exceptional organizational and time management skills, with the ability to multitask and meet deadlines.
  • High level of discretion and confidentiality in handling sensitive information.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Professional demeanor and strong sense of accountability and initiative.
  • Ability to work independently and manage tasks with minimal supervision.
  • Detail-oriented, proactive, and resourceful in problem-solving.
