Dealer Coordinator (Reliever, 4 months contract)

The Dealer Coordinator plays a crucial role in managing insurance policies, supporting dealership operations, and ensuring customer satisfaction.
JOB PURPOSE:
Effectively write and manage motor insurance policies allocated by dealerships, ensuring accuracy, compliance with approved rates, and timely processing of new business and renewal accounts.
KEY TASK AND RESPONSIBILITIES:
PROCESSING OF INSURANCE POLICIES- Prepare and issue insurance policies using rates approved by AXA Dealer Group
- Ensure accuracy of policy details such as customer information, vehicle specs, coverage, premium and payment terms
- Review and validate all required documents (sales invoice, OR/CR, IDS, etc.) before policy issuance
- Ensure compliance with underwriting and company guidelines
- Maintain complete and organized records of issued policies
- Issue motor policies accurately using rates approved by AXA Dealer Group.
- Coordinate with the Marketing Professional for interview and verification regarding the invoice.
- Distribute the motor policies to Insurance Head, Marketing Professional or client after issuance.
- Communicate and remind the client regarding renewal of the policy (if with dealer’s consent).
- Process the renewal of policies upon receipt of business allocation and advise to renew from the Insurance Head or Insurance Sales Executive.
- Send a printed copy of the renewed motor policies to the Dealer’s point of contact (must send copy to the bank if mortgaged).
- Provide monthly production reports and other reports may require.
- Provide client motor vehicle accident report form (MVARF) and list of requirements.
- Check the submitted requirements if complete.
- Take a picture of the damaged unit if claims personnel are not available.
- Update the dealer on the status of claim, send Letter of Authority (LOA) once approved or advise if there are still pending requirements.
- Proactively follows-up if claims turnaround time (TAT) not met.
- Explain to the client some details/coverage of motor insurance policy including,
- deductible/participation and depreciation in case of claim
- Inception date of the TPL policy upon renewal on the 3rd year (for brand new unit)
