The Contract Administrator supports the business in taking responsibility for the administration of contracts and the management of document control associated with Mechanical Services projects
Salary Range: 30,000 - 40,000Work Set-Up: Work onsite | Mon-Fri | 6am - 3pm
Responsibilities:
- Review and understand project particulars including project scope, contract requirements, and delivery programs.
- Administer contracts in accordance with company procedures and contractual obligations.
- Assist in assessing, processing, and determining cost variations relating to scope changes, client requests, supplier claims, and subcontractor variations for review and approval by the Project Manager
- Prepare supporting documentation for variations including marked-up drawings, photos, cost breakdowns, and correspondence.
- Assist with procurement administration and subcontractor documentation.
- Establish and maintain project directory structures and filing systems.
- Maintain accurate and current document registers, drawings schedules and transmittals are distributed to internal and external stakeholders
- Assist in the preparation of sample submission registers, handover documentation, certification templates, claims documentation, procurement schedules, and delivery registers.
- Liaise with clients, consultants, subcontractors and suppliers regarding project documentation and contractual matters
- Participate in project meetings and assist with meeting minutes and action tracking.
- Ensure compliance with company standards, Australian Standards, and project-specific requirements.
Requirements:
- Previous experience in a Contract Administrator or Project Administrator role.
- Experience within construction, mechanical services, engineering, or related industries preferred.
- Understanding construction contracts and project administration processes.
- Experience with document control systems and project management platforms.
- Excellent document control and organizational skills.
- High attention to detail and accuracy. Problem-solving and coordination skills.
- Ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite.
- Experience using project management and document control systems such as Aconex.
