Recruitment Coordinator

JOB KEY RESPONSIBILITIES
Talent Sourcing & Candidate Management- Source, screen, and shortlist qualified candidates for various roles
- Conduct initial interviews and candidate assessments
- Format and prepare CVs/resumes for client endorsement
- Maintain accurate and updated candidate records and databases
- Track candidates with completed skill assessments and onshore applicants
- Ensure a smooth and positive candidate experience throughout the hiring process
- Coordinate with clients regarding role requirements and suitable candidates
- Present candidate profiles to clients and prospective clients
- Build and maintain strong relationships with existing and potential clients
- Ensure all signed terms and client agreements are uploaded in JobAdder
- Schedule and coordinate interviews between clients and candidates
- Manage interview confirmations, follow-ups, and logistics
- Keep all parties informed throughout the interview process
- Manage and update company social media accounts (LinkedIn, Facebook, Instagram)
- Create eye-catching weekly content using Canva
- Develop and send weekly marketing emails featuring candidate profiles using ROI AI
- Help strengthen the company’s online presence and employer branding
- Monitor and respond to emails in a timely and professional manner
- Handle inbound calls and general inquiries
- Prepare weekly meeting agendas and document meeting minutes
- Send action items and updates to management after meetings
- Use JobAdder to:
- Manage clients and candidate profiles
- Post and monitor job ads
- Track placements and recruitment activities
- Generate reports and maintain organized records
- Coordinate with the accounts team for invoicing and billing concerns
- Ensure recruitment processes and records are compliant and updated
- Proven experience in recruitment, talent sourcing, or HR coordination
- Exceptional multitasking and administrative skills with the ability to manage multiple priorities effectively
- Strong communication and interpersonal skills
- High level of initiative, resourcefulness, and the ability to “fill in the blanks” with minimal supervision
- Experience using recruitment tools/ATS like JobAdder is a big advantage
- Familiarity with social media management and content creation tools like Canva
- Experience in client communication, outreach, or account coordination is a plus
- Proficient in Microsoft Office / Google Workspace
- Highly organized, detail-oriented, and able to work in a fast-paced environment
- Ability to prepare meeting agendas, take notes, and convert discussions into clear action items
- Experience recruiting for agriculture, trades, or blue-collar roles is an advantage
- Can work independently while supporting multiple business functions and stakeholders
