Job Summary:

The Executive Assistant provides high-level administrative support to the COO by managing schedules, coordinating meetings, preparing reports, handling confidential information, and performing a wide range of office duties. This role requires strong organizational skills, discretion, excellent communication, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Take minutes during meetings and follow up on action items.
  • Handle confidential information with discretion and professionalism.
  • Organize and maintain files and records, both physical and digital.
  • Coordinate logistics for board meetings, business trips, and special events.
  • Assist with personal tasks and errands as needed (if applicable).
  • Conduct research and compile data to support decision-making.

Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or related field.
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital tools (e.g., Zoom, Google Workspace).
  • Excellent written and verbal communication skills.
  • Strong time management and multitasking abilities.
  • High level of discretion and confidentiality.
  • Professional appearance and demeanor.
