Job Overview

The Terminal Operations Assistant is responsible for supporting day-to-day terminal activities including inventory reconciliation, product movement monitoring, vessel receiving, dispatch operations, and SAP-based documentation. This role ensures accurate stock management, adherence to safety and compliance standards, and seamless operational support within the oil depot terminal.

Key Responsibilities
  1. Inventory Management & Reporting
  • Perform daily stock reconciliation of physical inventory versus SAP book inventory.
  • Monitor daily product variances and initiate investigations aligned with terminal procedures.
  • Prepare and submit Daily Stock Movement Reports to the Terminal Manager for validation.
  • Provide Daily Stock Position Reports to the Supply Department to support demand and lifting planning.
  • Reconcile daily lifting records of Supply sales customers for accuracy and completeness.
  1. Product Movement & Documentation
  • Execute Goods Issue (GI) transactions in SAP for all outbound deliveries upon completion of product loading.
  • Maintain complete and accurate documentation of all inbound/outbound product movements in compliance with company policies and audit requirements.
  1. Terminal Operations
  • Assist in tanker receiving operations, including:
  • Conducting vessel COT (Cargo Oil Tank) gauging
  • Recording temperature and density readings
  • Computing vessel shipment quantities following industry and regulatory standards
  • Perform dispatching tasks when the Terminal Dispatcher is unavailable, ensuring uninterrupted loading operations.
  1. Safety & Compliance
  • Ensure all terminal activities adhere to HSSE (Health, Safety, Security, and Environment) protocols.
  • Support the implementation of industry best practices in oil depot operations, loss control, tank management, and product quality assurance.
  • Participate in regular safety drills, toolbox talks, and compliance audits.
  1. Additional Duties
  • Carry out other operational duties and special tasks assigned by the Terminal Manager as required.

Qualifications/Requirements

Education: Bachelor’s degree in Engineering (Mechanical, Chemical, Petroleum, or Industrial), Marine Transportation, or any related technical field.

Experience: At least 1–2 years of experience in oil depot terminal operations, petroleum logistics, or bulk liquid handling.

Technical Skills:

  • Proficiency in SAP (MM/SD modules) for inventory and product movement transactions
  • Knowledge of tank farm operations, calibration, gauging, and loss control principles
  • Familiarity with petroleum product specifications, density/temperature correction factors, and standard gauging tools
  • Understanding of HSSE requirements in terminal environments
  • Ability to interpret P&IDs, flow diagrams, and terminal operating procedures

Certifications (preferred):

  • Basic Safety Training
  • Hazard Identification & Risk Assessment (HIRA)
  • Terminal Operations or Tank Farm Handling certifications
