The Client Success Manager is a vital support to our Operations Managers and Client Advisors, ensuring a smooth and efficient experience for clients from first engagement through the onboarding experience while enhancing and extending our reputation for responsive client communications.
Duties:
Lead Management and Sales Support:
- Process inbound lead flow (calls/submissions) and maintain accurate records in HubSpot
- Qualify leads according to established criteria and route to appropriate team members
- Schedule appointments/meetings between leads and Client Advisors
- Conduct follow-up communications with leads and deals according to established timelines
- Maintain nurture cycles for prospects at various stages of the sales funnel
- Generate and deliver precise rental property price estimates using our rental estimating software
- Assist Client Advisors with tracking sales activity and progress by maintaining accurate records in our CRM system
- Prepare client and property information for Client Advisor meetings
Outbound Lead Generation:
- Conduct outbound calls and email campaigns to prospective clients (both investors and agents)
- Follow up with real estate agent referral partners according to established schedules
- Track and report on outbound lead generation activities and results
- Identify opportunities to improve lead conversion rates
Client Onboarding Support:
- Assist Operations Managers with the client onboarding process, ensuring efficient collection and processing of required documentation
- Track the progress of new client onboarding, ensuring timely completion of all necessary steps
- Obtain, review, and manage client intake forms, legal documentation and agreements, and supporting documents
- Ensure proper completion of client tax forms, coordinating with the accounting department as needed
- Keep all onboarding stakeholders informed and up to date, including the client, Client Advisor, Onboarding Team, and Operations team
- Assist Client Advisors with onboarding when bottlenecks arise
Data Management and Quality Assurance:
- Ensure data perfection in HubSpot and other systems
- Maintain accurate client and property records for quote automation
- Perform regular audits of CRM data to ensure completeness and accuracy
- Identify and resolve data inconsistencies or gaps
Client Communication:
- Respond to client inquiries and requests in a timely and professional manner
- Build rapport with clients and foster strong relationships
- Proactively identify and address client needs
- Coordinate property evaluations with the Property Manager
