ROLE OVERVIEW:
UpraisIT is seeking a highly organized and proactive Executive Assistant (EA) to provide dedicated support to an Australian CEO / Director. This role requires strong calendar management, travel coordination, and executive-level administrative support experience.
The ideal candidate has prior experience supporting senior executives, demonstrates excellent communication skills, and can manage competing priorities in a fast-paced environment. You will play a key role in ensuring the CEO’s schedule, meetings, and business activities run smoothly and efficiently.
DUTIES & RESPONSIBILITIES:
- Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, and events
- Coordinate domestic and international travel arrangements (flights, accommodations, itineraries)
- Organize and confirm meetings, prepare agendas, and send reminders
- Screen and manage emails, prioritizing important communications
- Prepare reports, presentations, and business documents as required
- Take meeting notes and track action items when necessary
- Liaise with internal teams and external stakeholders on behalf of the CEO
- Handle confidential information with discretion and professionalism
- Assist in organizing company events, board meetings, or executive sessions
- Ensure deadlines, commitments, and follow-ups are properly monitored
JOB REQUIREMENTS:
- At least 2 years of experience as an Executive Assistant or Virtual Assistant supporting a CEO/Director
- Proven experience managing calendars, meetings, and travel arrangements
- Strong written and verbal English communication skills
- Excellent organizational and time management skills
- High level of professionalism and confidentiality
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace
- Ability to work onsite in Ortigas (Meralco Ave)
- Reliable and committed to a full-time onsite setup
PREFERRED QUALIFICATIONS:
- Experience supporting Australian executives or international clients
- Experience using project management or scheduling tools (e.g., Asana, Trello, Calendly)
- Background in administrative support within a corporate or professional services environment
- Competitive salary package of PHP 30,000
