ROLE OVERVIEW:

UpraisIT is seeking a highly organized and proactive Executive Assistant (EA) to provide dedicated support to an Australian CEO / Director. This role requires strong calendar management, travel coordination, and executive-level administrative support experience.

The ideal candidate has prior experience supporting senior executives, demonstrates excellent communication skills, and can manage competing priorities in a fast-paced environment. You will play a key role in ensuring the CEO’s schedule, meetings, and business activities run smoothly and efficiently.

DUTIES & RESPONSIBILITIES:

  • Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, and events
  • Coordinate domestic and international travel arrangements (flights, accommodations, itineraries)
  • Organize and confirm meetings, prepare agendas, and send reminders
  • Screen and manage emails, prioritizing important communications
  • Prepare reports, presentations, and business documents as required
  • Take meeting notes and track action items when necessary
  • Liaise with internal teams and external stakeholders on behalf of the CEO
  • Handle confidential information with discretion and professionalism
  • Assist in organizing company events, board meetings, or executive sessions
  • Ensure deadlines, commitments, and follow-ups are properly monitored

JOB REQUIREMENTS:

  • At least 2 years of experience as an Executive Assistant or Virtual Assistant supporting a CEO/Director
  • Proven experience managing calendars, meetings, and travel arrangements
  • Strong written and verbal English communication skills
  • Excellent organizational and time management skills
  • High level of professionalism and confidentiality
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Ability to work onsite in Ortigas (Meralco Ave)
  • Reliable and committed to a full-time onsite setup

PREFERRED QUALIFICATIONS:

  • Experience supporting Australian executives or international clients
  • Experience using project management or scheduling tools (e.g., Asana, Trello, Calendly)
  • Background in administrative support within a corporate or professional services environment
