The Construction Operations Admin is responsible for assisting the Construction Head in managing and ensuring the smooth and efficient operations of the construction team. This role involves handling various administrative functions, including documentation, scheduling, tracking project progress, managing permits, and coordinating communication between project teams, clients, and subcontractors.

The Construction Admin also helps maintain organized records, streamline processes, and support day-to-day project activities to ensure that projects are completed on time, within budget, and to the highest standards of quality.

  • Assist in Preliminary Planning & Documentation: Support the preparation of project documents, permit applications, and administrative forms required for landscape construction projects.
  • Supplier Coordination & Procurement Support: Aid in sourcing suppliers, collecting quotes, and organizing pricing, terms, and delivery information for review by project managers.
  • Milestone & Budget Tracking: Maintain administrative records of project milestones, budgets, and financial targets to help ensure profitability is on track.
  • Monitor Purchases & Expenses: Track purchase orders, invoices, and expense reports related to landscape projects to support cost control and reporting accuracy.
  • Report Preparation: Compile and distribute weekly progress updates and internal status reports, ensuring all key stakeholders are informed.
  • Coordination Support: Facilitate communication and document sharing among internal teams, clients, suppliers, architects, and consultants.
  • Meeting & Visit Scheduling: Schedule and coordinate client calls, site visits, and meetings; prepare agendas and take minutes when required.
  • Cross-Team Collaboration: Provide administrative support for collaborations with affiliated companies and departments within the Plontur Group.

Qualifications:

  • Bachelor’s degree in Construction Management, Architecture, Engineering, or related field
  • 1–2 years of admin or project coordination experience (fresh grads with internships welcome)
  • Strong organizational and communication skills
  • Proficient in MS Office; project management tools a plus (Specifically Figjam/Figma)
  • Familiar with local permitting and procurement processes
  • Amenable for a hybrid set-up (3x a week on-site)
  • Amenable to conduct site visits
