Position Summary

The HR Coordinator provides administrative and operational support to the Human Resources function, ensuring efficient execution of HR processes across the employee lifecycle. This role supports recruiting, onboarding and offboarding, compliance, reporting, learning management, and employee support while maintaining accuracy, confidentiality, and compliance with applicable employment laws.

Essential Job Responsibilities:

Recruitment
  • Post open positions on Indeed and any other designated job boards.
  • Conduct initial candidate screenings through Indeed and route qualified candidates to hiring managers.
  • Where needed, coordinate interview scheduling and candidate communications.
Onboarding and Offboarding
  • Start initial contact with new employee once Paychex onboarding has been completed.
  • Complete employment eligibility verification (I-9) in Paychex.
  • Initiate and track background checks through HireRight.
  • Manage new employee onboarding process using established checklists to ensure a consistent experience. Partner with Practice Supervisors to ensure adequate clinical and process training is provided and signed off on by new hire.
  • Manage the offboarding process for terminating employees, including conducting exit interviews.
  • Prepare and distribute final employment documentation to terminated employees and state agencies, as needed.
Learning and Development
  • Maintain the Learning Management System (Mineral), including:

o Adding new employees and issuing LMS invitations.

o Removing terminated employees.

o Establishing learning tracks for newly acquired employees and existing employees (i.e. annual HIPAA and Anti- harassment training).
  • Track completion of required training and follow up with employees and managers, as necessary.
HR Administration and Compliance
  • Respond to online unemployment claims in a timely and accurate manner.
  • Complete annual EEO-1 reporting and data submission.
  • Complete any annual state salary reporting requirements (i.e. California)
  • Respond to employment verification requests.
  • Partner with Payroll on any Paychex administration and payroll matters.
Reporting and Data Management
  • Run and analyze reports from Paychex, including but not limited to:

o Turnover

o Merit planning

o Anniversary dates

o Birthdays

o Compensation trends

o Performance management review completions
  • Prepare summary reports and dashboards for leadership, as requested.
Employee Programs and Engagement
  • Manage annual recognition awards for PAs, NPs, and MAs in alignment with nationally observed professional recognition dates.
  • Support employee engagement initiatives (i.e. annual engagement survey) and internal communications, as assigned.
Benefits, Leave, and Policy Support
  • Manage short-term disability (STD) processes, including:

o Answering leadership and employee STD questions.

o Completing and filing required claim forms.

o Tracking approvals and return to work dates.

o Communicating with employees and The Standard.
  • Serve as a point of contact for basic employee questions regarding benefits, leaves of absence, and HR policies, escalating issues as appropriate.

Qualifications

Education & Experience
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of HR administrative or coordinator experience.
  • Experience with HRIS/payroll systems such as Paychex and LMS platforms strongly preferred.
Skills & Competencies
  • Strong organizational and time-management skills with high attention to detail.
  • Ability to handle sensitive and confidential information.
  • Working knowledge of state and federal employment laws and HR compliance requirements.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Customer-service mindset with the ability to interact professionally with employees at all levels.
