Overall Objectives

Responsible for the proper collation and analysis of necessary Headcount and Employee Costs data and transform it into a report for strategic analysis, maintain the accuracy of the employee database, ensure data validity and timely reporting to internal clients.

Task also includes reviewing and analyzing compensation details of employee's vs internal and external comparators, as may be requested by BU clients, to serve as vital basis in deciding on the salary to offer for new hires, promotion, re-alignment, and other movements within the CIC organization.

Minimum Requirements:

  • Candidates must possess 5-6 years of experience in data management and analytics.
  • A bachelor's degree is required for this position.
  • Advanced proficiency in Excel and statistical analysis is required to effectively manage and analyze headcount and employee cost data.
  • Prior experience in HR analytics or compensation analysis is preferred for this role.

Key Responsibilities

Annual Budget
  • Responsible for annual budget preparation – headcount, employee costs, master data, and calendar
  • Provide salaries and benefits plan assumptions aligned with CIC including trainings and company events
  • Prepare analysis and roadmap report on annual headcount and employee cost
  • Consolidation of plan external (3rd party) headcount from SBU Finance (FPA)
  • Support to IT and AS for tool of trade cost
  • Accomplish the annual budget for HR BU OPEX
  • Compute employee costs for allocation to SBU/BUs based on provided allocation keys
  • Compute employee shared costs to other legal entity

Forecast

Monthly Forecast Analysis and Report
  • Align monthly with Talent Acquisition and SBU HR / HRBP on new hires target of onboarding date, PRF update, and justification for any delayed in hiring
  • Update forecast files on employee movements such new hires, replacement, transfer, regularization, promotion or change in salary, change in organizational details, attrition and others based on alignment meeting
  • Update Master Data file based on the latest report from Process / Data Owners
  • Prepare and update the confidential and non-confidential forecast files for submission to SBU HR and SBU Finance
  • Provide monthly and annual employee costs and headcount variance analysis – actual versus forecast versus latest estimate versus plan
  • Support and provide updates on headcount movement to IT and AS for tool of trade cost
  • Update the monthly external headcount (3rd party) forecast report
  • Review forecast with SBU Finance (FPA)
  • Provide headcount and employee costs Task monitoring report (if any)
  • Identify risk and opportunity

Actuals

Month-end Closing
  • Prepare monthly summary of HR provisions for accrual including other headcount related costs, training and company events to CBSi Finance (FRC)
  • Actualization of the monthly headcount report
  • Timely submission of monthly accruals journal entry (JV) to CBSi Finance (FRC)
  • Timely submission of actual month ends permanent, temporary and external headcount to CBSi Finance (FRC)
  • Analysis of monthly actual employee costs GL accounts including other headcount related costs, training and company events
  • Provide timely adjusting entry, reversals or reclass of actual booking to CBSi Finance (RTR) as needed
  • Monthly review and alignment of Balance Sheet accounts related to employee costs such as, Reserve for Bonus and Retirement, Accrued Training and Company events, Accrued Other Employee benefits, Advances, Prepayments, Employee Advances Ledger (EAL) with CCAC Finance, CBSi Finance (FRC) and CBSi HR
  • Provide recommendation to CBSi Finance (RTR) related to ageing balance sheet accounts for clean-up
  • Prepare reversal entry of excess SIL, Bonus and 13th month provision upon pay-out
HR Dashboard / Roadmap
  • Prepare monthly report and deck of employee headcount, fill rate, attrition, and productivity
  • Prepare monthly financial report on employee costs including quarterly road map as may be requested from time to time or as the need arises.
  • Per request from SBU, reports preparation on Quarterly Business Review and other non-standard reports
Data Privacy
  • Compliance with Data Privacy policies and procedures of the organization.
  • Ensures that all personal information is utilized for HR purposes - assessment, payroll and benefits processing, HRIS updating, development.
  • Ensures that all personal information is properly safekept and are not unduly exposed nor disclosed to other parties. Access limited to authorized HR member.
