Overview
We are seeking a detail-oriented and process-driven Marketing Automation & Virtual Assistant Coordinator to support the execution of a highly structured marketing and operational support system. This role combines marketing coordination, administrative support, and virtual assistant responsibilities within a secure and highly process-oriented environment.
Key Responsibilities
Content & Marketing Execution- Execute pre-built marketing workflows and content systems using Monday.com and AI-assisted tools.
- Generate and publish marketing content across LinkedIn, Facebook, blogs, and additional digital platforms.
- Repurpose long-form content into short-form marketing assets, including social media posts and video shorts.
- Create blog content and upload/manage posts within WordPress.
- Follow established messaging guidelines and company positioning frameworks precisely.
- Maintain consistency across all marketing communications and branded content.
- Assist with ongoing content scheduling and publishing activities.
- Support content optimization and formatting for multiple channels.
- Utilize Monday.com workflows to manage content production and marketing tasks.
- Work within AI-powered messaging systems and structured content generation processes.
- Assist with email automation workflows using ActiveCampaign.
- Help maintain marketing databases, workflows, and automation systems.
- Track task progress and ensure deliverables are completed on schedule.
- Collaborate with leadership to ensure systems are followed accurately and efficiently.
- Conduct online research projects and compile findings in a clear and organized format.
- Provide administrative support to leadership and internal teams as needed.
- Assist with document organization, data entry, and operational coordination tasks.
- Help manage calendars, reminders, task tracking, and follow-up items when needed.
- Maintain organized digital records and internal documentation.
- Support leadership with miscellaneous virtual assistant responsibilities and operational projects.
- Communicate professionally and effectively with internal leadership.
- Follow company processes closely and maintain a high level of accountability.
- Complete all work within the company’s Microsoft virtual desktop environment.
- Adhere to company monitoring, tracking, and security protocols.
- Maintain confidentiality and professionalism while working within company systems.
- Minimum 3 years of experience supporting US-based companies in marketing, social media management, administrative support, virtual assistance, or similar roles.
- Experience using Monday.com required.
- Experience using WordPress required.
- Familiarity with AI-assisted content tools such as Claude AI preferred.
- Experience with ActiveCampaign or similar email automation platforms preferred.
- Strong written English communication skills.
- Strong organizational and task management abilities.
- Ability to follow detailed workflows and instructions consistently.
- Comfortable working independently in a remote environment.
- Experience creating and managing content across multiple social media platforms.
- Comfortable working within monitored and structured virtual desktop environments.
- Familiarity with CRM systems such as Pipedrive is a plus.
- Experience working with manufacturing, industrial, environmental, or safety-related industries.
- Familiarity with content repurposing for YouTube shorts and short-form video marketing.
- Experience supporting structured marketing operations with documented workflows.
- Understanding of branding consistency and messaging compliance.
- Previous experience in remote support roles for US-based organizations
- Experience providing executive assistant or virtual assistant support to leadership teams.
