JOB OBJECTIVE:
HR Associates perform a variety of human resources tasks, often focusing on recruitment, sourcing, hiring, and benefits of qualified candidates based on the approved job specifications of each position in the organization. HR Associates shall assist the recruitment team in all its sourcing activities including test administration, interviewing, and coordination with different units in the organization.HR Associates play an active role in the onboarding of new employees, explaining policies, and ensuring all necessary enrollment paperwork is completed properly. HR Associates may also be involved in recruitment initiatives, employee relations, and training programs.
MAIN RESPONSIBILITIES:
Manpower Planning:
- Assists the team in the annual manpower planning by providing valuable inputs on the Organization's manpower requirements versus the business plan.
- Assists the HR Supervisor/Officer/Manager in managing and identifying other recruitment strategies and partnerships.
Sourcing & Hiring:
- Actively and aggressively sources for the talent requirements of the Organization through different recruitment tools such as but not limited to online job search engines, headhunting, school and job fair expos, and referrals.
- Schedules applicants for interview and administers, and interprets psychological examination.
- Screens and interviews applicants based on job requirements and endorses the same to the requesting department/group and to the Top Management as necessary.
- Administers, checks, and interprets tests as part of the screening procedure.
- Prepares and submits to the immediate head the weekly Hiring of Report, and the annual manpower complement report for reference of appropriate actions.
- Endorse/Requests BI (Background Investigation), BC (Background Checking), Employment Verification, and School Verification to all shortlisted applicants.
- HR Assistant coordinates with Admin, Payroll, Compensation & Benefits the timely enrollment of officers and staff for Payroll ATM Account Opening, update records on SSS, Pag-Ibig, PhilHealth, BIR.
- HR Assistant endorses to Admin, Payroll, Compensation & Benefits the newly regularized officers and staff for the update of any adjustments on salary and benefits.
New Hires' On-boarding:
- Prepares for submission of individual contracts of new hires
- Coordinates with the Training Team the new hires' onboarding program to ensure each new hire is oriented prior to deployment
- Endorses to Admin the payroll account opening of new hires
- Coordinates with Payroll the new hires' payroll records to ensure each new hire gets their first payout as scheduled.
Documentation & Records Management:
- Prepares pre-employment checklist for all shortlisted candidates and monitors submission of the same prior to onboarding date.
- Prepares 201 File for all employees of the Organization and acts as 201 File custodian for each respective account
- Monitors completion of all pre/post-employment requirements and ensures completion of the documentary requirements such as but not limited to: employment contract, job offer sheet, mandatory government ID forms or numbers, payroll records, and others, same prior to onboarding date or to regularization of appointment
- Endorses to Admin / Payroll all government forms of new hires for enrollment or updating
- Monitors the submission of pending employment requirements.
- Prepares and monitors personnel movement and coordinates with the team to update the department's masterlist.
- Monitors the employees' due for regularization and reminds each head of the office of the required documentation to facilitate regularization.
OTHER RESPONSIBILITIES:
- Attends phone verification of employees from internal and external parties.
- Prepares requisition of supplies for the Department.
- Compliance with all prescribed policies and procedures of the Organization on safety and security.
- Adheres to the provisions of the Organization's Code of Conduct and Discipline.
- Reports any fraudulent, suspicious acts or unlawful activities/transactions immediately to the head to preempt potential risks to the Organization.
- Attends training and seminars deemed necessary such as Corporate Programs, Corporate Orientation, Vision Casting & Culture Building, and others.
- Maintain cleanliness and orderliness in the workstation.
- Ensures proper upkeep/maintenance of assigned equipment.
- Uses Unit resources, i.e., utilities, and supplies, judiciously.
- Performs other functions that may be assigned from time to time.
QUALIFICATION REQUIREMENTS:
- Graduate of behavioral science, industrial psychology, human resources, business, or related field from any reputable university
- Minimum of one (1) year relevant experience in the field of Human Resources Management function. New graduates are welcome to apply.
