Operations and Logistics Coordinator
Job Summary
Responsible for coordinating daily rental operations and logistics activities, including dispatch planning, fleet monitoring, equipment movement, maintenance coordination, customer operational support, and operational documentation to ensure efficient and timely service delivery while supporting customer satisfaction and business growth.
Key Responsibilities- Dispatch Planning & Route Coordination
Plan and coordinate daily routes based on job orders and rental service requests
Prepare trip tickets and necessary attachments such as Invoices, Delivery Receipts (DR), and Service Reports
Coordinate vehicle and equipment assignments for daily operations
Ensure timely dispatch and delivery of rental units and services- Fleet & Logistics Monitoring
Monitor all active routes and service operations on an hourly basis
Track locations and movement of service vehicles and rental equipment
Monitor fuel consumption and usage of service vehicles
Coordinate backloads and ensure proper tagging and recording of returned units
Ensure efficient utilization of fleet and rental equipment- Equipment Rental Operations
Assist in managing all rental units to ensure operational readiness and availability
Coordinate Preventive Maintenance Schedules (PMS) and repair activities
Monitor equipment downtime and follow up on pending maintenance requirements
Ensure proper documentation and monitoring of rental unit status- Documentation & Reporting
Collect, consolidate, and organize service reports from field personnel
Forward reports and operational documents to concerned departments or supervisors
Maintain accurate operational logs, records, and tracking reports
Ensure completeness and timely submission of operational and logistics documentation- Customer Operational Support
Assist in responding to customer inquiries related to deliveries, dispatch, equipment availability, and service schedules
Coordinate operational concerns with customers and internal departments
Provide timely updates regarding equipment movement, delivery schedules, and operational status
Maintain professional communication to support customer satisfaction and service reliability- Business Development Support
Assist in identifying customer operational requirements and service opportunities
Endorse potential rental or service opportunities to the Sales team
Support customer retention by ensuring efficient operational service and timely issue resolution
Coordinate closely with Sales and Operations teams to support repeat business opportunities- Coordination & Administrative Support
Coordinate with Operations, Logistics, Service, and other internal departments to ensure smooth workflow
Assist in preparing materials, tools, and operational requirements for scheduled activities
Perform other duties that may be assigned by the Immediate Head
Qualifications
Bachelor’s Degree in Engineering, Logistics, Operations Management, or related field preferred
Experience in logistics, fleet operations, dispatching, or equipment rental operations is an advantage
Strong organizational, coordination, and time management skills
Good communication and problem-solving abilities
Proficient in Microsoft Office and operational reporting
Ability to work in a fast-paced operational environment
Willing to do field coordination when necessary
