Inside Sales Assistant (Cebu)

We're looking for an Inside Sales Assistant to join our petroleum and energy team handling client accounts, processing orders, and coordinating deliveries across the Philippines.   1. Position Summary
The Inside Sales Assistant provides administrative and operational support to the Sales team in managing client accounts, processing orders, and coordinating the delivery of petroleum products including fuels, lubricants, and LPG across the Philippine market.

The role serves as the primary point of contact for customer inquiries and ensures seamless coordination between clients, field sales officers, logistics, and depot operations.

  1. Duties and Responsibilities
 A.  Sales Order Management
  • Process and monitor sales orders for petroleum products in the system (SAP/ERP) accurately and on time
  • Prepare and issue Sales Invoices, Delivery Receipts, and related sales documentation
  • Coordinate with the logistics and depot teams to schedule and confirm timely product delivery to client accounts
  • Track and update order status and inform clients and field sales officers of any changes or delays
 B.  Customer Service and Account Management
  • Respond promptly to customer inquiries via phone, email, and other communication channels regarding pricing, product availability, and delivery schedules
  • Build and maintain strong professional relationships with assigned accounts including industrial clients, fleet operators, and resellers
  • Assist in managing and growing existing accounts by identifying upselling or cross-selling opportunities
  • Handle and resolve customer complaints and concerns in coordination with relevant departments
 C.  Sales Support and Reporting
  • Prepare accurate and timely sales quotations, proposals, and order confirmations for client accounts
  • Generate and submit weekly and monthly sales activity reports, account status summaries, and pipeline updates to the Sales Supervisor
  • Maintain and update the Customer Relationship Management (CRM) database with accurate client interaction records and sales data
  • Support field sales officers by preparing required documents, presentations, and account information prior to client visits
 D.  Billing and Collections Support
  • Assist in monitoring accounts receivable and coordinating with the Finance team on outstanding balances
  • Follow up with clients on payment dues in accordance with approved credit terms
  • Prepare statements of account and collection letters as required
 E.  Coordination and Administrative Tasks
  • Coordinate with internal departments including Logistics, Depot Operations, Finance, and Credit Management to ensure smooth order fulfillment
  • Monitor product inventory levels and relay information to the Sales team and clients as needed
  • Perform other administrative and sales-related tasks as assigned by the immediate supervisor
  1. Minimum Qualifications
Education
  • Bachelor’s Degree in Business Administration (Marketing, Management), Commerce, or any related field
Experience
  • At least one (1) year of relevant work experience in sales support, account management, or customer service.
  • Prior experience in the petroleum, oil and gas, energy, or distribution industry is a strong advantage
  • Fresh graduates with strong internship experience in sales or administrative roles will be considered.
Knowledge and Skills
  • Proficient in Microsoft Office applications, particularly Excel and Word
  • Experience with SAP, Oracle, or any ERP/CRM system is preferred
  • Strong verbal and written communication skills in both Filipino and English
  • Solid understanding of basic sales processes, order management, and customer service principles
  • High numerical accuracy and attention to detail
  • Ability to work under pressure and manage multiple tasks simultaneously
  • Customer-focused with a proactive and solutions-oriented mindset
  • Team player with good interpersonal and organizational skills
  1. Working Conditions
The Inside Sales Assistant works in a standard office environment on regular business hours. Occasional overtime or work on weekends may be required during peak sales periods or month-end closing. Minimal travel may be required for client visits or inter-office coordination.

Deployed in Cebu.
