About the Role

Join a fast-growing retail and eCommerce business seeking a highly organised and proactive Executive Assistant to support the Director.
This is not a traditional admin role—you will act as a key operational partner, ensuring smooth communication, efficient coordination, and that nothing falls through the cracks.

You will play a critical role in helping the business run efficiently by managing priorities, streamlining workflows, and supporting day-to-day operations.

Key Responsibilities:

  1. Inbox & Communication Management
  • Manage and triage multiple inboxes
  • Prioritise and respond to emails where appropriate
  • Ensure all communication is handled and followed up
  • Fully manage the Director's calendar, including scheduling, rescheduling, and protecting focus time
  • Coordinate communication with suppliers, including follow-ups, order tracking, and issue resolution
  1. Calendar & Time Management
  • Manage the Director's calendar, scheduling and rescheduling meetings
  • Protect focus time and ensure preparedness for all commitments
  • Handle urgent staffing issues, including roster changes and staff coordination when required (weekend cover)
  1. Supplier & Admin Support
  • Handle supplier communication, order tracking, and issue resolution
  • Assist with administrative and operational tasks
  • Input and organise financial data
  1. Reporting & Finance Support
  • Prepare weekly reports (sales, inventory, staff costs, etc.)
  • Assist with invoice tracking and financial data organisation
  • Prepare weekly reports on sales, inventory, staff costs, and key business metrics
  1. HR & Recruitment Support
  • Post job ads and manage applications
  • Coordinate interviews and onboarding processes
  • Maintain staff records and project coordination
  • Ensures projects move forward without delay
  1. Executive & Personal Support
  • Manage bookings, appointments, and logistics
  • Handle day-to-day administrative tasks
  1. On-Call Support
  • Handle urgent staffing issues when required
  • Coordinate last-minute roster changes
What We're Looking For
  • Proven experience supporting a senior leader or managing operations in a fast-paced business
  • Strong written and spoken English communication skills
  • Excellent organisational skills and attention to detail
  • Ability to prioritise and work independently
  • Proactive, accountable, and solution-focused mindset
  • Ability to manage competing priorities and keep multiple workflows moving
  • Comfortable working remotely and managing multiple tasks independently
Preferred (but not required)
  • Experience in retail or eCommerce
  • Familiarity with tools such as Google Workspace, Shopify, Xero, Cin7, Gorgias, Deputy, WhatsApp or similar systems
