About the Role:
We are looking for a highly organised and proactive Executive Assistant & Sales Coordinator to support the Executive Leadership Team. This role involves executive support, operational coordination, and project management to ensure leadership can focus on strategic priorities.
The ideal candidate will be skilled in managing schedules, optimising workflows, sales, and ensuring smooth business operations.
Key Responsibilities
Executive & Administrative Support- Serve as a trusted partner to the leadership team, ensuring their time is used efficiently.
- Manage schedules, calendars, and commitments, adjusting priorities as needed.
- Prepare leadership for meetings, including agendas, materials, and follow-ups.
- Handle internal and external communications with professionalism.
- Maintain confidentiality and discretion in all interactions.
- Track and oversee key projects and initiatives, ensuring timelines and deliverables are met.
- Maintain operational tracking tools, including skill matrices and reporting dashboards.
- Identify and implement process improvements to enhance efficiency.
- Ensure meeting outcomes, action items, and follow-ups are documented and executed.
- Utilise Google Suite, Microsoft Office, Trello, Notion, and reporting tools to support operations.
- Maintain and update internal documentation and knowledge bases.
- Organise and present insights in clear and actionable reports.
- Minimum 4+ years of experience in an Executive Assistant, Operations, or Project Coordination role.
- Strong organisational and time management skills with the ability to prioritise effectively.
- Excellent written and verbal communication skills, with experience interacting with senior stakeholders.
- Proficiency in Google Suite, Microsoft Office, and project management tools.
- Ability to work independently and handle confidential information with discretion.
- Experience or interest in process improvement and workflow optimisation.
- Experience working in sales.
- Fluency in additional languages such as Chinese (Mandarin) or Japanese.
- Work closely with leadership to support decision-making and streamline operations.
