Position Overview
RecruitGo is seeking a detail-oriented Estate Planning Paralegal to support California probate and trust matters. The role involves managing case files, drafting petitions and trust documents under attorney supervision, preparing court filings, coordinating notices and service to beneficiaries, tracking assets and creditor claims, and assisting with trust distributions and accountings.The ideal candidate should have 2–3 years of probate and trust experience, strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities, with conversational English and a law degree considered a plus.
ResponsibilitiesCore Case Management & Workflow
Open new matters in your case management system (e.g., MyCase, Clio)
Maintain task lists and deadlines for each file
Calendar key dates (court hearings, creditor deadlines, distribution timelines)
Track statute-driven timelines (Probate Code notice periods, creditor claim windows)
Keep matter checklists updated (probate vs. trust admin workflows)
Document Drafting (Attorney-Supervised)Draft probate petitions (e.g., Petition for Probate, Spousal Property Petition)
Prepare trust administration documents: o Notices to beneficiaries (Probate Code §16061.7)
o Certification of Trust summariesDraft: o Declarations
o Ex parte petitions (where applicable)o Waivers and consents
Prepare court forms (Judicial Council forms)
Assemble initial filing packages
Court Filing Support (E-Filing)
Prepare e-filing packets for California courts
Format pleadings to local court rules
Coordinate with e-filing vendorsReview filings for completeness before attorney review
Calendar hearing dates once confirmed
Asset & Financial Information GatheringOrganize asset inventories
Summarize financial statements (bank, brokerage, retirement accounts)
Track date-of-death values
Assist in the preparation of asset spreadsheets
Follow up with institutions for required documentation
Notice & Service CoordinationPrepare Notices of Petition to Administer Estate
Coordinate service lists (heirs, beneficiaries, interested parties)
Track and confirm service completion
Prepare proofs of service for attorney review
Creditor Claim ManagementTrack creditor claim deadlines
Log incoming claims
Draft acknowledgment or rejection templates (for attorney review)
Maintain the creditor claim ledger
Accounting SupportAssist in drafting informal accountings
Organize receipts, disbursements, and distributions
Reconcile transaction summaries (based on client-provided data)
Format schedules for court accountings
Court Hearing PreparationAssemble hearing binders (digitally)
Prepare attorney hearing packets
Draft proposed orders
Prepare court-ready documents for filing after hearings
Trust Administration SupportTrack trust funding status
Assist with trust asset distribution tracking
Draft beneficiary correspondence
Maintain distribution logs and approvals
Title & Property CoordinationCoordinate with title companies
Prepare preliminary change of ownership reports (PCOR)
Assist with deeds (drafting for attorney review)
Track real property sales timelines
Internal Admin & File MaintenanceKeep digital files organized and labeled
Maintain templates and standard forms
Update internal SOPs as workflows evolve
Assist with billing entries (time tracking, drafting narratives)
Optional / Advanced (If Experienced)Draft initial inventories and appraisals (for attorney review)
Assist with Heggstad petitions
Prepare Section 850 petitions
Coordinate with CPAs on tax-related documentation
Assist with estate distribution calculations
Qualifications/Requirements
QualificationsMust-Have:
2–3 years of experience in Estate Planning, with a focus on Trust Administration and/or Probate (California Probate experience is highly desired but not required)
Nice-to-Have: Fluent conversational English
Possible Law degree

Salary Range: PHP 48,000 - PHP 72,000Work Setup: Work-from-home in the Philippines
Work Schedule: Monday through Friday from 8:30 AM to 5:00 PM Pacific Time
Employment Status: 3-month initial contract, with potential for renewal to a longer-term arrangement based on performance
