PURCHASER
  1. Sourcing and Selection
  1. Identifying and vetting potential vendors based on price, reliability, and quality.
  2. Sending out requests to multiple suppliers to compare prices and terms.
  3. Monitoring industry trends and price fluctuations to time purchases effectively.
  1. Transaction and Order Management
  1. Creating and issuing official documents to suppliers that specify quantities, prices, and delivery dates.
  2. Ensuring all purchases stay within the department's or company's allocated budget.
  3. Collaborating with warehouse or production teams to ensure enough stock is on hand without over-purchasing (which wastes money).
  4. Verifying that the Purchase Order, the Delivery Note, and the Invoice all match before authorizing payment.
  1. Negotiation and Relationship Management
  1. Negotiating favorable terms, such as bulk discounts, longer payment windows and faster shipping.
  2. Monitoring supplier performance to ensure they are meeting quality standards and delivery deadlines.
  3. Handling issues like damaged goods, late shipments, or incorrect billing.
Qualifications/Requirements
 A.  Education
  1. Bachelor’s degree in Business Administration, Supply Chain Management, or any related field.
 B.  Experience
  1. Minimum of 1 – 2 years of experience in procurement, purchasing, or inventory management, preferably in retail or in any related manufacturing.
 C.  Technical Skills and Competence
  1. Understanding of purchasing procedures, supplier selection, and supplier evaluation.
  2. Ability to monitor stock levels and ensure timely replenishment to prevent shortages.
  3. Knowledge of reorder points, safety stock, and lead times specific to perishable or hazardous products.
  4. Awareness of rules and regulations for proper handling of products and food safety standards, or any standard requirements.
  5. Ensures purchases stay within budget while maintaining quality and timely delivery.
  6. Predicts material and product needs based on schedules, seasonal demand, or market trends.
  7. Checks and ensures the quality of received goods.
  8. Coordinates with warehouse, dispatch and suppliers to ensure timely and safe delivery of goods.
  9. Proficient in Microsoft Office applications (Word, Excel, Outlook).
 D.  Behavioral Skills
  1. Negotiation Skills – Ability to communicate effectively with suppliers to secure favorable terms, prices, and timely deliveries.
  2. Attention to Detail – Ensures accuracy in purchase orders, contracts, and supplier documents to confirm that quality requirements are met, particularly within the business units.

  7. Proactive & Initiative – Anticipates supply needs and acts in advance to prevent shortages or delays.
  8. Communication Skills – Clearly conveys requirements, issues, and updates to suppliers and business unit teams.
  9. Teamwork & Collaboration – Works effectively with corporate office - finance, operations, and other departments or business units involved.
