About the role
Polystar General Services Inc. is seeking a dedicated and organised Administrative Assistant to join our team in Makati City, Metro Manila. This is a full-time position that plays a crucial role in supporting our daily operations and ensuring the smooth functioning of our administrative processes.As an Administrative Assistant, you will be the backbone of our office, providing essential support to management and various departments, helping to maintain efficiency and professionalism across the organisation.
What you'll be doing- Managing office correspondence, including emails, letters, and telephone communications
- Scheduling and coordinating meetings, appointments and events for management and staff
- Maintaining and organising filing systems, both physical and digital, ensuring easy retrieval of documents
- Preparing and formatting reports, presentations, and other business documents
- Managing office supplies inventory and placing orders as needed
- Supporting human resources functions, including employee record management and attendance tracking
- Handling general office administration tasks including reception duties and welcoming visitors
- Assisting with data entry and maintaining accurate records in various systems
- Coordinating office facilities and services to ensure a productive work environment
- Supporting other departments with administrative tasks as required
- High school diploma or equivalent; further administrative or business qualification is advantageous
- Proven experience working in an administrative or office support role
- Excellent organisational and time management skills with the ability to manage multiple tasks simultaneously
- Strong written and verbal communication skills in English and Filipino
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Attention to detail and accuracy in all work tasks
- Professional demeanour with excellent customer service and interpersonal skills
- Ability to work independently and as part of a team
- Problem-solving mindset and willingness to take initiative
- Reliability and punctuality in meeting deadlines
