Administrative Assistant to the CEO

As an Administrative Assistant to the CEO, you will play a crucial role in helping the CEO stay focused on their priorities by handling a variety of responsibilities, from organizing schedules to managing communication and other administrative functions.

Duties and Responsibilities:
- Answer phones and greet visitors
- Schedule appointments and maintain calendars
- Schedule and coordinate meetings
- Process company/business permits, licenses, and/or documents
- Handling administrative requests and queries from the CEO
- Collate and distribute mail
- Prepare communications such as memos, emails, invoices, reports and other correspondence
- Write and edit communications, from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Manage accounts and perform bookkeeping
Qualifications:
- Minimum of 5 years of proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) or equivalent software
- Excellent Organizational Skills and has the ability to prioritize and manage multiple tasks
- Strong Attention to detail and Problem Solving skills
- Excellent written and verbal communication skills
- Experience in Bookkeeping
- A team player who has profound decision making skills
- Someone who is comfortable in collaborative work as you will be supporting the CEO and clients on a regular basis
