In this role, you will be part of a dynamic team who are responsible for coordinating a range of campaigns and projects including events, advocacy, on-trade and digital activations, from enquiry through to execution and post event debrief. The core components for this role will include managing staff invoices, preparing quotes, liaising with clients for smaller events and supporting the team with adhoc requests.

Key Roles
  • Liaising with Sweet&Chilli Account Managers to set up quotes, and SharePoint folders
  • Building and managing staff shifts through Rosterfy
  • Processing staff invoices for payment
  • Quoting small events and communicating with clients via outlook and telephone if required
  • Provide relevant assistance & support to the Events team as well as the company’s administrative duties
  • A safe pair of hands who can work autonomously, managing up as required
  • Completing various tasks assigned by Account Managers in a timely manner and with high attention to detail
  • Supporting the DBA team, by monitoring and recording sessions in excel
  • Support the broader agency by assisting in the development and management of internal agency

  • Experience: Minimum 1 year as a Virtual Assistant/Executive Assistant

Internal:

  • Head of F&B, Events Assistant, Account Managers, Events Logistics Coordinators and cross functional agency teams

External:

  • Event and activation staff
Day to Day Responsibilities
  • Liaising with Client Account Managers to set up quotes, and SharePoint folders
  • Building and managing staff shifts through Rosterfy
  • Processing staff invoices for payment
  • Attend Client weekly for the events WIP (Work In Progress) and daily on events and projects as required
  • Assist Account Management team where your skillset is required
  • Administrative work, efficient maintenance of admin and client monthly reporting
Reporting
  • Weekly WIP with your direct report and other key stakeholders
General
  • Ensure excellent client service & quality control in all aspects of role
  • Excellent time management and prioritisation of tasks
