A Payroll Assistant is responsible for supporting the payroll department in processing employee wages and ensuring timely and accurate payroll operations. This role is crucial for maintaining employee satisfaction, legal compliance, and proper financial accounting.
✅ Key Responsibilities- Payroll Processing Support
- Assist in preparing and processing employee payroll on a weekly, biweekly, or monthly basis.
- Collect and verify timesheets, attendance records, and overtime data.
- Input and maintain accurate payroll information in the payroll system.
- Data Entry & Maintenance
- Update employee records for new hires, terminations, bonuses, and salary changes.
- Ensure correct tax codes, deductions (e.g. pensions, insurance), and benefits are applied.
- Compliance & Accuracy
- Ensure compliance with labor laws, tax regulations, and company policies.
- Check payroll calculations for accuracy and resolve any discrepancies.
- Payroll Queries & Support
- Respond to employee questions about payslips, deductions, and tax documents.
- Assist with the distribution of payslips and payroll-related communications.
- Reporting & Documentation
- Prepare payroll reports for management, finance, or HR.
- Maintain confidentiality of payroll data and ensure secure storage of records.
- End-of-Year Support
- Assist with the preparation of year-end tax forms (e.g., W-2s, P60s, T4s depending on country).
- Help reconcile payroll accounts and assist auditors if needed.
- Key Skills and Qualifications
- Education: Degree or certification in Accounting, Finance, or HR is a plus.
- Experience: 1–2 years in payroll or administrative roles (entry-level acceptable in many cases).
- Technical Skills:
- Familiarity with payroll systems (e.g., ADP, Paychex, Sage, QuickBooks Payroll).
- Strong Excel skills (pivot tables, formulas).
- Basic knowledge of tax regulations and employment law.
- Soft Skills:
- High attention to detail and accuracy.
- Trustworthiness and discretion with confidential information.
- Good organizational and time-management skills.
- Effective communication and teamwork.
