IV. JOB SUMMARY

We are seeking a highly organized and proactive Project Coordinator to support the day-to-day operations of a growing project management business specializing in property renovations, developments, and insurance-related restoration work.

In this role, you will manage administrative, financial, and project coordination tasks while supporting the business owner. You will play a key role in keeping multiple client projects on track, ensuring smooth operations, and enabling the business to scale effectively.

 V.  WHAT YOU’LL DO

Operations & Administrative Support
  • Oversee daily administrative operations to ensure efficiency and continuity
  • Manage and organize business documentation, systems, and workflows
  • Proactively identify gaps or inefficiencies and implement solutions
Project Coordination
  • Track multiple ongoing projects and ensure timelines and deliverables are met
  • Coordinate with stakeholders to keep projects progressing smoothly
  • Maintain clear visibility of project statuses, priorities, and next steps
  • Ensure all project-related documentation is up to date and accurate
Invoicing & Financial Administration
  • Prepare and manage client invoicing, including time-based billing
  • Track accounts receivable and payable
  • Ensure accuracy in timesheets and allocation of hours to client invoices
  • Follow up on outstanding payments as needed
Executive Support
  • Manage the business owner’s calendar, appointments, and scheduling
  • Assist in prioritizing tasks and ensuring key deadlines are met
  • Provide general support to enable the owner to focus on client-facing work
VI. REQUIREMENTS
  • Proven experience in operations, administration, or project coordination
  • Experience in invoicing, accounts receivable/payable, or similar financial admin tasks
  • Experience working with timesheets or billable hours is highly preferred
  • Proficiency in standard office and project management tools
  • Experience in construction, engineering, or building-related industries is an advantage but not required.
