Job Description – Purchasing Staff

The Purchasing Staff is responsible for sourcing, negotiating, and procuring goods and services required by the company at the best possible cost, quality, and delivery terms. The role ensures timely availability of materials while maintaining proper documentation and coordination with suppliers and internal departments.

Key Responsibilities:

  • Process purchase requisitions from different departments
  • Source and evaluate suppliers based on price, quality, and reliability
  • Request and compare quotations (RFQ) and prepare purchase orders (PO)
  • Negotiate pricing, payment terms, and delivery schedules with suppliers
  • Monitor and follow up on orders to ensure on-time delivery
  • Maintain accurate records of purchases, pricing, and supplier information
  • Coordinate with warehouse/accounting for receiving and payment concerns
  • Ensure compliance with company procurement policies
  • Handle issues such as delayed deliveries, wrong items, or damaged goods
  • Assist in inventory monitoring when needed

Qualifications:

Education:

  • Bachelor’s degree in Business Administration, Supply Chain Management, Accounting, or any related field

Experience:

  • 1–3 years experience in purchasing, procurement, or supply chain (preferred)

Skills & Competencies:

  • Strong negotiation and communication skills
  • Good analytical and decision-making ability
  • Proficient in MS Office (Excel, Word) and basic ERP systems (if any)
  • Detail-oriented and highly organized
  • Ability to work under pressure and meet deadlines
  • Good interpersonal skills for supplier and internal coordination

Other Requirements:

  • Integrity and good judgment in handling procurement transactions
  • Willingness to do fieldwork or supplier visits if required
