ADMIN ASSISTANT / TECHNICAL COORDINATOR
Job Description:
Need Ink Sales & Services is currently looking for an Admin Assistant/Technical Coordinator who will be responsible for performing clerical, documentation, and administrative tasks to support daily operations, assisting with records, compliance, and timelines. She/he will manage and coordinate technical services, ensuring efficient resolution of client concerns, technician deployment, and up-to-date service documentation. Among the responsibilities of the role are:
Administrative- Manage phone calls, emails, and correspondence.
- Schedule appointments and coordinate staff/technical personnel schedules.
- Prepare documents (memos, reports, invoices).
- Oversee purchasing, inventory, and facility coordination.
- Maintain electronic and physical filing systems.
- Handle bookkeeping and account management.
- Support administrative functions (budget, personnel, meetings).
- Provide phone-based technical support to field technicians and clients.
- Manage technical personnel assignments and track progress.
- Update Sales Executives on client service activities.
- Troubleshoot technical issues and escalate as needed.
- Maintain detailed customer interaction records in TSMS.
- Process printer unit replacements and parts requests.
- Manage printer parts inventory.
- Generate weekly/monthly technical activity reports.
- Schedule and manage printer maintenance (PMS).
- Verify and close out technical service activities.
About You:
The ideal candidate must have the following:
- Bachelor's/College Degree in a relevant field, with a minimum of 1 year of experience in administrative support and/or technical coordination.
- Proficient in Microsoft Office Suite.
- Strong written and verbal communication, including persuasive writing.
- Excellent organizational, time management, and problem-solving abilities.
- Proven ability to multitask and manage diverse workloads.
- Knowledge of administrative procedures, filing systems, and record management.
- Strong customer service orientation.
- Independent, passionate, detail-oriented, and adaptable professional.
