ADMIN ASSISTANT / TECHNICAL COORDINATOR

Job Description:

Need Ink Sales & Services is currently looking for an Admin Assistant/Technical Coordinator who will be responsible for performing clerical, documentation, and administrative tasks to support daily operations, assisting with records, compliance, and timelines. She/he will manage and coordinate technical services, ensuring efficient resolution of client concerns, technician deployment, and up-to-date service documentation. Among the responsibilities of the role are:

Administrative
  • Manage phone calls, emails, and correspondence.
  • Schedule appointments and coordinate staff/technical personnel schedules.
  • Prepare documents (memos, reports, invoices).
  • Oversee purchasing, inventory, and facility coordination.
  • Maintain electronic and physical filing systems.
  • Handle bookkeeping and account management.
  • Support administrative functions (budget, personnel, meetings).
Technical Coordination
  • Provide phone-based technical support to field technicians and clients.
  • Manage technical personnel assignments and track progress.
  • Update Sales Executives on client service activities.
  • Troubleshoot technical issues and escalate as needed.
  • Maintain detailed customer interaction records in TSMS.
  • Process printer unit replacements and parts requests.
  • Manage printer parts inventory.
  • Generate weekly/monthly technical activity reports.
  • Schedule and manage printer maintenance (PMS).
  • Verify and close out technical service activities.

About You:

The ideal candidate must have the following:

  • Bachelor's/College Degree in a relevant field, with a minimum of 1 year of experience in administrative support and/or technical coordination.
  • Proficient in Microsoft Office Suite.
  • Strong written and verbal communication, including persuasive writing.
  • Excellent organizational, time management, and problem-solving abilities.
  • Proven ability to multitask and manage diverse workloads.
  • Knowledge of administrative procedures, filing systems, and record management.
  • Strong customer service orientation.
  • Independent, passionate, detail-oriented, and adaptable professional.
