Job Description

As a NDIS Accounts and General Admin Officer, you'll play a vital role in streamlining financial processes-issuing invoices, managing payroll, reconciling payments, and reviewing timesheets. Beyond numbers, you'll support daily operations, assist with rosters, handle admin tasks, and collaborate closely with teams to ensure seamless service delivery in the disability care sector.

The Qualifications We Seek
  • 2-3 years of experience in administrative and accounting roles
  • Solid background in accounting, bookkeeping, payroll, bank reconciliation, and invoicing
  • Previous experience working with Australian clients or businesses is highly regarded
  • Proficient in Xero, PRODA, and Employment Hero; familiarity with NDIS operations
  • Experience with other accounting tools such as QuickBooks or MYOB is preferred
  • Excellent written and verbal English communication skills, with at least 90% email proficiency
  • Strong interpersonal skills and a professional, approachable demeanor
  • Positive attitude, operational mindset, and dedication to continuous improvement
  • Competitive, resourceful, and able to work both independently and as part of a team
Your Daily Tasks
  • Issue weekly client invoices accurately and email them to relevant stakeholders, including submitting payment claims via PRODA
  • Make outbound calls to follow up on unpaid invoices and escalate overdue accounts when necessary
  • Review support worker shifts and approve timesheets within required deadlines
  • Perform fortnightly pay runs using Employment Hero
  • Reconcile incoming payments, invoices, and expenses in Xero within set deadlines
  • Answer overflow calls and transfer them to appropriate departments or individuals as needed
  • Build and maintain strong working relationships with fellow admin team members
  • Assist in planning, publishing, and emailing monthly direct support rosters
  • Maintain effective communication through formal channels such as Microsoft Teams and email
  • Organize and upload documents into the system to support general admin functions
  • Support the Operations Manager in implementing business improvement projects, ensuring accuracy and timely completion of tasks
