Is currently looking for:
PURCHASING ASSISTANT
Duties and Responsibilities:
PROCUREMENT AND SOURCING- Researching and identifying reliable suppliers for the required materials and services and notifying the superior by means of report.
- Negotiate pricing, delivery terms, and contracts with suppliers to secure favorable terms.
- Issue purchase orders for materials and services based on business needs.
- Ensure the procurement progress aligns with the company’s budget, quality standards, and timelines.
- Track and manage the status of purchase orders, payments and ensuring timely delivery.
- Update electronic records (database) with order details such as purchase order reference no., date, supplier, quantity, discount, etc.
- Making of weekly/monthly purchasing report based on e-record and/or hard copies.
- Follow up with suppliers, as needed, to confirm or change orders.
- Ensure that all procurement documentation is kept up-to-date and complies with company policies.
- Coordinating and checking with warehouse staff (someone who is in charge with incoming and current supplies) to ensure that the new supplies received was in a good condition. Contact suppliers if there are discrepancies within that purchase order.
- Monitoring of stock levels and identifying purchasing needs; notify superior.
- Filing, maintaining and organizing all important documents such as quotations, purchase orders, invoices, delivery receipts and other documents pertaining to purchasing department.
- Other clerical duties that will be given by the superior.
- Follow company quality service standards and comply with procedures, rules and regulations.
- Perform such other duties and functions as maybe required by the General Manager/President from time to time within the bounds of the company policy.
- Education and/or Experience:
Bachelors/College Degree in Business Administration/Management, Finance or equivalent; with at least 2-3 years related experience and/or training or equivalent combination of education and experience.
SKILLS AND COMPETENCY
Education and/or Experience:
- Solid analytical skills, with the ability to create financial reports and conduct cost analyses
- Good knowledge of supplier sourcing practices (researching, evaluating and liaising with suppliers)
- Negotiation skills
- Good Communication Skills
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
- Confidentiality and trustworthiness
- Time management and ability to prioritize to meet multiple deadlines
