Prime Path Advisory is a California-based tax advisory firm serving high-net-worth individuals, founders, and business owners across the United States. Our engagements start at $12,000 and cover advanced tax strategy, alternative investments, and financial planning.We're scaling rapidly and need an Operations Manager to bring process discipline, accountability, and structure to a growing team, so our founder can focus on strategy, and culture instead of putting out fires.
The Role
You'll own the operational backbone of the firm — building SOPs, enforcing workflows, processing payroll, and making sure nothing falls through the cracks across client delivery, sales, and admin. This is a hands-on leadership role reporting directly to the founder.You're not advising on process — you're building it, enforcing it, stepping in to coach when things go sideways, and holding people accountable. We have the tools (Monday.com, TaxDome, GoHighLevel, Notion, DocuSign); we need someone who makes the team actually use them correctly and consistently.
What You'll Own
Process Design & SOP Creation- Audit existing workflows across client delivery, sales, onboarding, and admin
- Write clear, step-by-step SOPs for every recurring process
- Standardize how the team uses Monday.com, TaxDome, GHL, and Notion - eliminate ad-hoc workarounds
- Maintain a living SOP library that new hires can follow from day one
- Own the Monday.com boards: ensure every client, task, and deadline is tracked accurately
- Run daily/weekly check-ins to catch missed deadlines, incomplete updates, and process violations before they become client issues
- Provide direct feedback and coaching to team members when work doesn't meet standards - you're the person who steps in, course-corrects, and follows up to make sure it sticks
- Flag breakdowns in real time and escalate to the founder only when necessary
- Track KPIs across departments (client delivery timelines, sales pipeline accuracy, response times)
- Step in and respond to clients when departments need backup — whether it's a delivery delay, a billing question, or an escalation that needs immediate attention
- Ensure the client journey runs smoothly from signed engagement to filed return
- Coordinate between tax advisors, the admin team, and the founder on escalations
- Monitor client communication channels (TaxDome, email) for consistency and timeliness
- Process payroll for the team — track pay periods, verify hours/commissions, and ensure timely payments
- Maintain and audit compensation records (base pay, commissions, contractor payments)
- Coordinate with the founder on payroll questions and discrepancies
- Onboard new team members with structured checklists and tool access
- Serve as the central point of coordination between sales, advisory, admin, and marketing
- Support the founder in enforcing company standards without requiring his daily involvement.
- 3+ years in operations, project management, or chief of staff roles — preferably at a professional services firm (accounting, legal, consulting, or financial advisory)
- Strong preference for candidates with experience at Athena, Wing, Belay, or similar high-standards operations firms
- Proven track record of building SOPs from scratch and getting teams to follow them
- Deep proficiency with project management tools — Monday.com experience strongly preferred
- Experience managing or processing payroll (contractor and/or employee)
- Strong written communication — you'll write SOPs, process docs, client responses, and team updates daily
- Experience holding people accountable without micromanaging — firm but collaborative
- Comfortable working asynchronously with a US-based team across multiple time zones
- Detail-obsessed — you catch the things everyone else misses
- Self-directed — you identify what's broken and fix it without being told
- Background at a company with a structured, high-accountability operations culture (e.g., Athena, a Big Four firm, or a scaled professional services company)
- Prior experience in a tax, accounting, or financial advisory environment
