About the Role
We are looking for a reliable and detail-oriented Virtual Assistant based in the Philippines to support a U.S.-based landscape contracting business.
You will play a key role in handling administrative tasks, client communication, scheduling, and supporting daily operations.
Responsibilities- Scheduling & Coordination
- Schedule projects, site visits, and inspections
- Coordinate with subcontractors and clients
- Customer Support
- Answer phone calls and respond to emails
- Handle customer inquiries and follow-ups professionally
- Estimating & Invoicing
- Prepare estimates for:
- Landscape maintenance
- Irrigation & drainage
- Concrete & masonry
- Use subcontractor-provided scope and pricing, then apply markup
- Create and send estimates and invoices using QuickBooks
- Sales Support
- Follow up on leads and estimates
- Assist in closing jobs
- Admin Tasks
- Request and organize Certificates of Insurance
- Maintain accurate records and documentation
- Marketing Support
- Assist in requesting client reviews
- Help update website and social media content
- Coordinate with marketing/web team
- Excellent English communication skills (spoken & written). Spanish is a plus!
- Strong customer service skills
- Must have a reliable computer (laptop preferred) and stable internet
- Proficient in:
- Microsoft Word, Excel, Outlook
- QuickBooks (or willing to learn)
- Highly organized, detail-oriented, and dependable
- Ability to work independently and follow instructions
- Experience as a Virtual Assistant or in office administration
- Background in landscaping or similar industries
- Familiarity with CRM or project management tools
- Must be able to work in U.S. business hours
