Job Overview:
Our client is hiring a meticulous, process-driven Healthcare Paralegal & Compliance Coordinator to instill structure, clarity, and deadline control into their corporate legal operations. Working under leadership and counsel direction, you will own the end-to-end lifecycle of corporate agreements and state registration structures.This position requires someone who thrives on translating complex corporate documents into highly organized, searchable, and proactive tracking frameworks.
Schedule:
Monday - Friday, 9:00 AM - 5:00 PM EST (40 work hours per week)
Responsibilities:
- Contract Infrastructure: Draft, revise, and cross-reference agreements using standard corporate templates (including MSAs, BAAs, NDAs, statements of work, and vendor agreements).
- Lifecycle Tracking: Maintain a centralized, real-time contract lifecycle tracker capturing effective dates, termination notice windows, active owners, and digital locations.
- Expiration Control: Own the proactive renewal matrix to notify internal stakeholders, founders, and external law firms 30/60/90 days ahead of any contract expirations.
- Entity Compliance: Develop and maintain an exhaustive corporate tracker documenting state registration numbers, foreign qualification records, annual report deadlines, and active filing portals.
- Law Firm Liaison: Serve as the operational interface for external legal counsel, setting meeting agendas, documenting action items, and tracking external deliverable timelines.
- Library Auditing & Remediation: Audit legacy and current contract structures to identify missing documentation or unexecuted attachments, proactively coordinating remediation plans.
- Process Documentation: Build clear SOPs for legal intake, contract document naming conventions, and secure digital file storage to preserve strict confidentiality.
Qualifications:
- Proven prior experience as a paralegal or legal operations specialist within a healthcare group, telehealth company, medical network, or healthcare law firm.
- Deep familiarity with healthcare-adjacent corporate documents, HIPAA confidentiality requirements, Business Associate Agreements (BAAs), and service arrangements.
- Demonstrated mastery of building and maintaining contract renewal trackers and compliance calendars within spreadsheet or project management software.
- High-level administrative discipline: the natural habit of checking signature execution, tracking auto-renewals, and documenting meeting next steps.
- Exceptional attention to detail, verbal/written communication, and discretion with highly sensitive corporate documents.
- Ability to operate independently under remote supervision while aligning with an agile, founder-led business pacing.
