SPECIFIC DUTIES AND RESPONSIBILITIES:
  • Manages and maintain all controlled company documents
  • Update and control procedure documents and forms
  • Create and mange document hierarchy and process systems
  • Take charge of all document identification, classification and filing.
  • Periodically conduct document audits confirming they are current and accurately reflect recorded evidence.
  • Ensure revised documents are accessible.
  • Assist Operations Group during external (Auditing and certifying bodies such as but not limited to National Meat Inspection Services (NMIS), Food and Drug Authority (FDA), Société Générale de Surveillance (SGS), Islamic Dawah Council of the Philippines (IDCP) and Food Service and Institutions)
  • Conform to company enforced document and record control procedures.
  • Train employees in the company’s-controlled document processes to ensure correct handling of document and records of the operation.
  • Create effective and efficient document and record filing system.
  • Ensure proper organization and security of documents/ records (Paper and Electronic copies).
  • Log document requests and retrieves documents/ records as needed in the operation.
  • Make available, notify and distribute documents to respective process owners.
  • Demonstrates a high concern for the health and safety of self and others.
  • Demonstrates commitment to Company Rules and Regulations.
  • Undertakes special projects or technical studies as requested by San Miguel Foods Inc.
  • Performs other related duties as may be assigned either in support of company goal or for his/her personal or professional training, education or development as programmed by his/her immediate superior.

Qualifications/Requirements

QUALIFICATIONS
 A.  Education (preferred level)
  • Graduate of any 4-year course
  • Computer Literate (Microsoft Excel, Word and PowerPoint)
 B.  Experience (the minimum level of direct experience in a similar position)
  • Have at least 2 years’ relevant experience as Document and Records Control in a food industry.
 C.  Technical Competencies:
  • Knowledge in Quality and Food Safety Management System, ISO, FSSC, GMP, SSOP, HACCP, Corporate Environmental, Safety and Health Policy and Preventive Maintenance.
  • Good Communication skills both oral and written.
  • Excellent leadership and inter-personal skills.
