The Inventory & Procurement Officer is a core management position focused on stabilizing the supply chain, controlling costs, and preventing fraud. This role is not an independent decision-maker; all actions must strictly adhere to Standard Operating Procedures (SOPs) and the company’s Approval Authority Matrix.
Key Responsibilities- Inventory & Stock Management
Counting: Executes weekly (high-risk items), monthly (full), and annual (audit) inventory counts.
Control: Monitors "Fast-Moving" vs. "Slow-Moving" items and maintains Reorder Points.Accountability: Manages the Central Kitchen (CK) buffer stock and ensures all item issuances are documented via signed receipts (ICS/PAR).
Standards: Enforces FIFO (First-In, First-Out) and manages waste/disposal reporting.
- Procurement & Supplier Relations
Sourcing: Identifies and "canvasses" at least three reputable suppliers to ensure competitive pricing.
Negotiation: Seeks "Value for Money" regarding price, credit terms, and delivery leads (subject to final HQ approval).Compliance: Strictly prohibits verbal agreements or unauthorized purchasing.
Logistics: Manages three distinct routes (Supplier to Store, Market to CK, and CK to Store) to ensure stable supply.
- Cost Control & Financial Alignment
Costing: Manages ingredient-level costs and aligns them with recipe-based costing.
Reporting: Immediately reports abnormal cost fluctuations or variances between theoretical and actual inventory.Coordination: Works closely with Accounting for monthly valuations, payment reconciliation, and audits.
Technical Skills: Proficiency in Excel (for numerical data) and Slack/Confluence (for SOP documentation) is required.
Communication: Must be able to report facts and numerical data clearly in English.
Qualifications/Requirements
experience as a inventory & procurement officer in restaurant or hotel is big advantage.
