Job Summary
The Inventory & Cost Accounting Assistant is responsible for supporting inventory monitoring, cost accounting, and financial control processes within the Food and Beverage (F&B) industry. The role ensures the accuracy of inventory records, assists in cost analysis and reconciliation, monitors stock movement and variances, and helps maintain compliance with internal controls and accounting standards.This position works closely with the Finance, Procurement, Commissary/Production, Warehouse, and Operations teams to support efficient inventory management and accurate product costing.
Key Responsibilities:
Inventory Management- Maintain accurate and updated inventory records for raw materials, packaging, supplies, and finished goods.
- Monitor inventory movement, including receiving, transfers, issuances, returns, and adjustments.
- Assist in conducting regular physical inventory counts and cycle counts, and reconcile discrepancies against system and accounting records.
- Track spoilage, wastage, expiry, and inventory variances, and ensure proper documentation and reporting.
- Coordinate with warehouse, commissary, and store operations to ensure timely and accurate inventory reporting.
- Assist in the preparation and monitoring of product costing, including raw material cost analysis, standard costing, and actual costing.
- Support the review and validation of recipe costing, portion costing, and food cost percentages.
- Monitor cost variances related to inventory usage, wastage, and production output.
- Assist in the preparation of inventory valuation and cost of goods sold (COGS) reports.
- Provide support in month-end closing activities related to inventory and cost accounting.
- Reconcile physical stock balances with inventory records and accounting data.
- Prepare inventory and cost-related reports for management review.
- Assist in analyzing discrepancies and recommending corrective actions to improve inventory accuracy and cost control.
- Maintain proper filing and documentation of inventory and costing records for audit and compliance purposes.
- Ensure adherence to company policies, accounting procedures, and internal control standards.
- Support compliance with food inventory practices such as shelf-life monitoring, spoilage control, and stock rotation.
- Coordinate with relevant departments to improve inventory processes, cost monitoring, and reporting accuracy.
- Assist in system updates and encoding of inventory and costing data as needed.
- Bachelor’s degree in Accountancy, Accounting Technology, Management Accounting, Business Administration, or any related field.
- At least 1–2 years of experience in inventory accounting, cost accounting, or inventory control, preferably in the Food & Beverage, restaurant, retail, or manufacturing industry.
- Knowledge of inventory accounting, cost accounting, and inventory reconciliation.
- Familiarity with inventory systems, accounting software, or ERP systems.
- Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis.
- Understanding of food cost computation, recipe costing, and inventory valuation is an advantage.
- Strong analytical, numerical, and organizational skills.
- High attention to detail and accuracy in handling reports and records.
- Good communication and coordination skills.
- Experience in the F&B, restaurant, or commissary operations environment.
- Knowledge of inventory controls, food costing, and spoilage management.
- Familiarity with ERP/accounting systems used in inventory and costing processes.
- Primarily office-based, with occasional visits to warehouse, commissary, kitchen, or store locations for inventory verification and coordination.
- May be required to participate in actual inventory counts and stock audits.
- Fast-paced work environment that requires flexibility, accuracy, and ability to meet deadlines.
