Administrative Support VA
Job Summary: We are looking for a highly organized and proactive Admin and Operations VA to support a solo wellness professional with CRM management, outreach, follow-up, and light email marketing tasks. The ideal candidate has a genuine interest in wellness and mental well-being, and brings the organizational discipline and communication warmth needed to manage administrative responsibilities while maintaining a high standard of professionalism across every touchpoint.
Key Responsibilities:
- Maintain and organize the client's Pipedrive CRM, keeping all contacts and records accurate and current; add new connections from conferences, events, and networking activities in a timely manner
- Conduct outreach to potential clients via email and LinkedIn on the client's behalf, drafting messages in the client's authentic, warm, and non-salesy voice; follow up with cold or unresponsive leads to sustain engagement
- Research prospective clients, speaking opportunities, and relevant conferences to support business development; track outreach metrics and submit weekly progress reports aligned with the client's goals
- Proactively identify opportunities to re-engage past contacts or expand the client's professional network
- Help create and send periodic email newsletters; manage contact lists and ensure accurate segmentation; draft wellness-focused content that stays true to the client's tone and messaging
- Manage the client's inbox and surface priority messages for timely attention
- Assist with calendar management and scheduling to ensure the client's time is used as effectively as possible
- Handle ad-hoc administrative tasks as they arise to keep daily operations running smoothly
Mandatory Skills:
- Strong written communication skills with the ability to craft clear, professional, and warmly authentic outreach messages
- Proficiency with CRM tools — hands-on Pipedrive experience is a strong and valued advantage
- Highly organized with the ability to manage multiple concurrent tasks and deadlines without losing quality
- Self-motivated and fully capable of working independently and taking initiative without constant guidance
- Reliable internet connection and a functional, dedicated home office workspace
Preferred Skills:
- Practical experience with email marketing platforms such as Mailchimp or ConvertKit
- A genuine personal interest in wellness, mental health, or personal development
- Prior experience supporting coaches, consultants, or independent professionals in an administrative capacity
- Familiarity with LinkedIn outreach strategies and research for identifying speaking engagements and conference opportunities
