Job Title: Associate Virtual Admin Assistant (AU)

Work Setup & Schedule:

  • Hybrid (6AM to 3PM)

What you’ll be doing:

  • Prepare and revise correspondence, documents, reports, agenda, meeting minutes and action items.
  • Diary management, including, scheduling meetings, managing conflicting priorities and responding to invitations.
  • Assistance with Business Fitness workpapers.
  • Researching venues and gifts.
  • Book meetings, catering, events, travel and accommodation.
  • Manage expenses and billings.
  • General administration (i.e. filing, archiving, document collation) as required.
  • Provide proactive administration support to the Business Services team to promote effective business operations and positive team culture.
Systems & software
  • The role will require the VAA to utilize a number of systems and software as outlined below:
  • Microsoft Word
  • Microsoft Excel
  • Microsoft Outlook (experience in same or similar essential)
On the job training to be provided as required
  • Microsoft Teams
  • Reckon APS (Practice Management System)
  • Virtual Cabinet (Document Management System)
  • Ignition (client engagement document tool)
  • Business Fitness (workpaper management software)
  • Various internally developed tools and other programs/systems as and when required
Other Duties
  • Daily input of time into client's practice management system
  • Daily communication with Senior Executive Assistant and administration team
  • Highly responsive to emails and communication from Senior Executive Assistant and Executive Assistant.

  • Graduate of any business administration course
  • 1-2 years of work experience in administrative tasks
  • Excellent written and verbal English skills
  • Well organized and detail-oriented
  • Able to work on their own initiative and part of a team
  • With experience using Microsoft applications and other administrative tools
