Role Overview
The Talent Acquisition Coordinator plays a vital role in supporting end-to-end recruitment operations, ensuring a seamless candidate experience, and coordinating onboarding and mobilisation activities. This role works closely with Talent Acquisition Specialists, hiring managers, HR teams, and external stakeholders to deliver efficient hiring processes and maintain strong operational compliance.
The position focuses on interview coordination, pre-employment requirements, onboarding logistics, and mobilisation support, ensuring all hiring and deployment activities are executed accurately and on time.
Key Responsibilities
Recruitment & Interview Coordination- Coordinate interview scheduling between candidates, hiring managers, and interview panels
- Manage job postings, applicant tracking, and candidate communications through ATS
- Ensure a positive candidate experience by providing timely updates and clear instructions
- Support recruiters in screening logistics and interview preparation
- Manage pre-employment requirements including background checks, document collection, and onboarding documentation
- Track onboarding progress and ensure all requirements are completed prior to start date
- Support onboarding sessions and ensure new hires are properly integrated into the organization
- Assist in developing mobilisation schedules, checklists, and deployment plans
- Coordinate travel, visas, work permits, and accommodations for employees and contractors
- Ensure compliance with health, safety, and security protocols during mobilisation
- Liaise with HR, recruitment, procurement, and project teams to align hiring and mobilisation needs
- Coordinate transport and delivery of necessary equipment and materials to project sites
- Maintain accurate records of personnel movement, documentation, and readiness
- Serve as a point of contact for candidates and mobilised employees regarding onboarding and travel requirements
- Communicate updates to internal stakeholders, vendors, and clients on recruitment and mobilisation status
- Escalate delays or issues that may impact timelines or compliance
- Ensure all employees meet required certifications, medical clearances, and documentation standards
- Maintain accurate tracking sheets, reports, and compliance records
- Support audits and ensure adherence to labor, immigration, and company standards
- Act as a go-to person for recruitment and onboarding queries
- Provide administrative support including diary management, correspondence, and coordination tasks
- Manage room bookings for interviews and meetings
- Prepare weekly and monthly recruitment and mobilisation reports
- Update and maintain client administrative guides and documentation
- Bachelor's degree in Human Resources, Psychology, Business Administration, or related field
- 2–4 years of experience in recruitment coordination, HR operations, or talent acquisition support
- Exposure to onboarding or pre-employment processes is an advantage
- Experience working in fast-paced or multinational environments is preferred
- Strong organizational skills with high attention to detail
- Excellent communication and stakeholder coordination abilities
- Ability to manage multiple priorities and deadlines
- Proficiency in ATS, HRIS, and Microsoft Office/Teams
- Strong administrative and coordination skills
- High level of integrity, confidentiality, and customer-service mindset
- Ability to work independently and as part of a collaborative team
